About The Position

Lakeside HR Group has been engaged by our client to recruit for a Human Resources Executive Assistant to join their team. Our client is a dynamic, growing global organization within the financial services industry that values collaboration, integrity, thoughtful decision-making and continuous improvement. This role blends hands-on HR coordination with high-level executive support. The Human Resources Executive Assistant will help keep day-to-day HR operations moving, support a fast-paced global team and ensure people, priorities and processes stay connected across leaders, offices and time zones.

Requirements

  • Prior experience in HR coordination, HR operations or a similar Human Resources role.
  • Meaningful experience providing executive or senior-level administrative support.
  • Experience managing complex calendars and coordinating across multiple leaders and priorities.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to anticipate needs, take initiative and solve problems independently.
  • Strong written and verbal communication skills.
  • High level of professionalism, judgment and discretion.
  • Comfort working in a dynamic, fast-paced environment with changing priorities.
  • Experience with HRIS technology; Workday experience is preferred.

Nice To Haves

  • Experience supporting teams across multiple locations or international time zones is strongly preferred.
  • Experience in financial services, investment management, private equity, professional services or another high-performing environment is a plus.

Responsibilities

  • Support day-to-day HR operations and employee lifecycle activities for the U.S. employee population while partnering with the broader global HR team as needed.
  • Coordinate recruiting activities, including interview scheduling, candidate communication and logistics across hiring leaders, candidates and multiple stakeholders.
  • Prepare offer letters and coordinate background checks, pre-employment activities, onboarding and benefits enrollment to help deliver a polished candidate and employee experience.
  • Manage recurring employee and compliance-related processes, including periodic background checks.
  • Help drive annual HR processes such as goal setting, performance reviews and employee programs by managing timelines, communication, scheduling, documentation and follow-up.
  • Provide proactive administrative support to HR leadership, including complex calendar management, meeting coordination, preparation and organization of materials and expense reporting.
  • Coordinate schedules across multiple leaders, offices and international time zones, identifying conflicts and solutions in advance.
  • Help communication, priorities and follow-up move smoothly across the global HR team, with flexibility to support international time zones as business needs arise.
  • Draft and coordinate employee and manager communications related to HR programs, processes and initiatives.
  • Maintain accurate employee information and support HR processes, reporting and documentation in Workday; assist employees and managers with routine HR questions and connect them with appropriate resources.
  • Coordinate travel, team meetings, events, offsites, invoices and vendor-related activities for the HR team.
  • Track priorities, deadlines and next steps; identify opportunities to improve HR processes, organization and efficiency; and provide broader administrative and backup support as needed.
