About The Position

Provides comprehensive clerical and administrative support to the Director of Human Resources, Leadership Team, and Human Resources department. Responsible for maintaining schedules for HR training rooms and supporting daily office operations. This position performs a variety of administrative and workforce support functions including correspondence, records management, meeting coordination, recruitment support, on-boarding assistance, employee file maintenance, staffing coordination, and workforce reporting. Work requires discretion, confidentiality, strong organizational, communication, analytical, and independent judgment skills.

Requirements

  • Demonstrated proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint required.
  • Must possess excellent oral and written communication, presentation, follow-up, and stakeholder management skills.
  • Must be highly organized, attentive to detail, analytical, and team oriented.
  • Ability to work under pressure and meet tight deadlines with minimal supervision.
  • Ability to develop and maintain strong cross-functional working relationships.
  • Ability to work effectively with diverse individuals and groups in a professional environment.
  • Valid driver’s license and insurability required.

Nice To Haves

  • 2 to 3 years of relevant full-cycle Human Resources or administrative experience preferred.
  • Experience with HRIS and timekeeping systems, preferred.
  • Knowledge and understanding of federal and state employment laws and HR compliance requirements are preferred.
  • Bachelor’s degree in human resources is preferred.

Responsibilities

  • Supports the administrative needs of the Director of Human Resources, Leadership Team, and all staff, including scheduling and confirming appointments, preparing correspondence, maintaining records, copying/scanning documents, and responding to inquiries.
  • Maintains schedules for HR training and HR events across all library locations.
  • Produces and manages documents and reports by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting information and data.
  • Assists employees with HR-related inquiries, directs requests as appropriate, and provides excellent customer service to internal and external customers.
  • Maintains confidential files, records, and documentation in compliance with organizational policies and procedures.
  • Assists with recruitment and onboarding activities, including posting job openings, scheduling interviews, processing new hire documentation, coordinating background screenings, and maintaining employee records.
  • Collaborates with Director of Human Resources and library locations on new hire processing, announcements, job descriptions, recruitment strategies, interviewing candidates, and related staffing functions.
  • Responsible for salaried and hourly staffing support through onboarding and retention efforts aligned with organizational staffing strategies.
  • Facilitates employee orientation, training coordination, and general staff support activities.
  • Serves as a liaison between employees and site leadership as needed to support communication and workplace resolution.
  • Utilizes HRIS, timekeeping systems, and other office systems to update records, maintain databases, benefits and support administrative processes.
  • Manages special projects related to workforce management, strategic planning, and quarterly/monthly people data reporting.
  • Coordinates meetings, travel arrangements, training sessions, and special events such as staff meetings, employee recognition activities, and organizational events.
  • Prepares reports and compiles information for leadership and departmental use.
  • Creates PowerPoints, dashboards, excel spreadsheets, flyers and/or brochures in support of HR events, metrics or activities.
  • Supports compliance with applicable federal, state, and local employment laws and regulations, including EEO, AA, FMLA, ADA, unemployment insurance administration, and worker’s compensation.
  • Maintains positive working relationships with staff, community partners, and internal departments.
  • Contributes to team efforts by accomplishing related duties and special projects as assigned.
  • Performs other job-related duties as necessary.
