About The Position

The Human Resources Coordinator serves as a key point of contact for employees and supervisors seeking HR guidance and support. This role works closely with the Director of Human Resources to ensure consistent application of HR policies, smooth coordination with external venders, and efficient handling of employee matters. A strong emphasis is placed on improving efficiency through digitalization of HR processes, maintaining compliance within a regulated banking environment, and supporting a positive employee experience. This individual will work with Bank management to perform and ensure uniformity in the handling of job postings, hiring, and onboarding of new staff. This individual will work with in-house and 3rd party product venders to provide oversight, administrative and transactional support for the Bank’s employee benefits program; to include insurances, benefit time administration, and HR forms and documents. Requirements

  • Associate or bachelor’s degree in human resources or business administration.
  • 1-3 years of HR experience preferred.
  • Ability to handle confidential information with discretion.
  • Excellent organizational skills.
  • Strong familiarity with employment laws and regulations.
  • Completion of recognized HR certification (SHRM-CP, SHRM-SCP or equivalent) to ensure a strong foundation in human resource best practice and compliance.

Responsibilities

  • HR Support & Employee Guidance: Serve as a first-line HR resource for employees’ questions regarding policies, procedures and benefits.
  • Maintain comprehensive knowledge of the Employee Handbook and HR policies to ensure consistent interpretation, guidance, and support in upholding Banks standards and expectations.
  • Provide guidance to supervisors on routine HR matters, escalating complex issues to the Director of Human Resources as appropriate.
  • Maintain confidentiality and professionalism when handling sensitive information.
  • Conduct monthly reviews of employee survey results, identifying trends or areas of concern, and elevate when appropriate to Director of Human Recourses.
  • Conduct regular travel to branch locations to provide HR support, maintain visibility, and employee support across the bank.
  • Coordination & Communication: Route employee concerns, requests and events to the appropriate point of contact.
  • Assist in planning and coordinating employee training, recognition initiatives and HR related activities.
  • Support internal communication related to HR policies, updates and reminders.
  • Vendor & Administrative Management: Act as liaison with HR- related vendors (benefits providers, training partners)
  • Coordinate vendor communications, documentation and follow-ups.
  • Assist with onboarding, offboarding and personnel file management.
  • Digital HR Process Improvement: Support initiatives to modernize and digitize HR workflows, records and forms.
  • Identify opportunities to streamline manual processes through technology solutions.
  • Compliance & Recordkeeping: Maintain organized and compliant personnel records in accordance with regulations and employment laws.
  • Assist with audits, reporting and documentation preparation.
  • Ensure HR processes align with regulatory and internal policy requirements.
  • New Hires and On-Boarding Related: Support recruitment marketing initiatives aimed at promoting the bank as an employer of choice and attract future talent to meet workflow needs.
  • Assist managers and supervisors with the preparation of new hire requisitions, job postings, and job descriptions, at the direction of the executive officers.
  • Serve as the primary point of contact for applicants throughout the hiring process and participate in all interviews.
  • Responsible for communications with Bank Managers regarding the new hires’ start dates.
  • Connect new hires with benefits provider for benefits overview and enrollment.
  • Conduct onsite HR-related orientation sessions for all new hires.
  • Review the Employee Handbook, the Code of Ethics, and all other applicable Bank policies with the employee.
  • Training Related: Conduct training to inform and educate, employees relative to harassment in the workplace, Americans with Disabilities Act, Equal Employment Opportunity Act, and sexual harassment in the workplace. This training includes explaining their rights, regulations, and responsibilities regarding these laws.
  • Coordinate with the CEO all requests, schedules, payments etc. related to employee interest in offsite higher education courses.
  • Partners with managers and supervisors to support the employee evaluation process, ensuring reviews are comprehensive, consistent, and conducted in a productive manner.
  • Benefits Related: Manage the annual open enrollment process, ensure timely communication and completion for all employees.
  • Serve as the administrator for benefits administration platform, ensuring accurate setup and ongoing maintenance of employee benefit information.
  • Perform regular reconciliation of employee benefits to ensure accuracy between payroll deductions, benefits elections and vender billing.
  • Responsible for filing workers compensation initial filing for incidents.
  • Primary liaison to HR/Benefit vendors
  • Ensure performance of clerical functions associated with benefits, such as updating records and processing insurance claims.
  • Processing FSA and HRA payments (with reconciliation).
  • Payroll and Employee Records Related: Ensure payroll is properly processed.
  • Manage timekeeping and employee evaluation systems.
  • Administer the Bank’s Affirmative Action Plan, coordinating the annual preparation and review to ensure compliance.
  • Security Related: Assist Bank Security Officer with the management of the Key Fob and Alarm Codes.
  • Ensure that all Bank Alarm Call Lists are continually updated and provided to the appropriate police departments and alarm company.
