About The Position

Round Hill Country Club is seeking an enthusiastic and organized Human Resources Coordinator to join their team. This role offers hands-on experience across various HR functions, including recruiting, onboarding, HR systems, benefits, payroll support, employee relations, training, compliance, and employee engagement. The position provides administrative and operational support for the HR function and serves as a resource for employees and managers throughout the employment lifecycle. The ideal candidate will be highly organized, approachable, service-oriented, and comfortable in a fast-paced hospitality environment.

Responsibilities

  • Coordinate recruitment activities for hourly, seasonal, and salaried positions.
  • Post and maintain job openings using the Club's applicant tracking system and other recruiting resources.
  • Review applications and assist managers with identifying qualified candidates.
  • Coordinate and schedule interviews with candidates and hiring managers.
  • Communicate with applicants throughout the recruitment and selection process.
  • Assist with reference checks, background checks, offer letters, and pre-employment requirements.
  • Maintain accurate applicant and recruitment records.
  • Assist department managers with seasonal staffing needs and recruitment initiatives.
  • Participate in job fairs, recruiting events, and other outreach efforts.
  • Coordinate the onboarding process for new employees.
  • Prepare and process new-hire documentation.
  • Coordinate new employee orientation and communicate Club policies, expectations, benefits, and resources.
  • Verify completion of required employment eligibility documentation, including Form I-9 requirements.
  • Ensure employees are properly entered into the HRIS/payroll system.
  • Coordinate with department managers to ensure new employees receive appropriate departmental orientation and training.
  • Monitor completion of required onboarding activities and training.
  • Maintain accurate and confidential employee personnel records.
  • Process employee changes including new hires, transfers, promotions, compensation changes, status changes, and terminations.
  • Maintain employee information within the Club's HRIS/payroll system.
  • Assist employees and managers with HRIS access, employee self-service, timekeeping, and other system-related questions.
  • Conduct periodic audits of employee records and HRIS data.
  • Maintain required training, certification, performance, and compliance records.
  • Protect confidential employee and Club information.
  • Assist with payroll preparation and review as assigned.
  • Review timekeeping records for missing punches, approvals, or other discrepancies.
  • Work with department managers to resolve timekeeping and payroll issues.
  • Assist employees with payroll-related questions.
  • Assist with payroll audits and reporting.
  • Support managers in the proper use of timekeeping and scheduling systems.
  • Assist employees with benefit enrollment and general benefit questions.
  • Support new-hire, annual open enrollment, and qualifying life event processes.
  • Maintain accurate benefit enrollment information and documentation.
  • Assist with health and welfare benefits, retirement plans, and other employee benefit programs.
  • Coordinate with benefit providers and internal resources to help resolve employee benefit questions and discrepancies.
  • Maintain confidentiality of employee benefit information.
  • Serve as an approachable first point of contact for employees with routine HR questions and concerns.
  • Provide employees with information regarding Club policies, procedures, benefits, payroll, scheduling systems, and HR resources.
  • Refer sensitive or complex employee relations matters to the Director of Human Resources.
  • Assist with documenting employee relations matters, investigations, coaching, counseling, and corrective actions.
  • Support positive employee relations and promote respectful, professional workplace practices.
  • Help create an HR presence that is responsive, accessible, and service-oriented.
  • Assist with coordinating Club-wide employee and management training programs.
  • Schedule training sessions and maintain attendance and completion records.
  • Monitor completion of required compliance and safety training.
  • Assist department managers with onboarding and departmental training requirements.
  • Support employee development, leadership training, service training, and other Club initiatives.
  • Assist with utilizing HRIS learning management tools and other training platforms.
  • Assist with maintaining compliance with applicable federal, state, and local employment requirements.
  • Maintain required employment records, postings, notices, and documentation.
  • Assist with workers' compensation administration and workplace injury documentation.
  • Support leave administration and related documentation.
  • Assist with unemployment claims and employment verification requests.
  • Assist with employee handbook, policy, and procedure administration.
  • Maintain HR calendars, deadlines, reports, and compliance tracking systems.
  • Assist with HR audits and preparation of requested documentation.
  • Maintain appropriate records retention practices.
  • Assist with employee recognition, appreciation, engagement, and retention initiatives.
  • Support employee events, celebrations, meetings, and Club-wide programs.
  • Assist with employee communications and distribution of HR information.
  • Promote a welcoming, respectful, inclusive, and service-oriented workplace.
  • Support initiatives designed to strengthen interdepartmental communication and teamwork.
  • Demonstrate an understanding that a positive employee experience directly contributes to an exceptional member experience.
  • Provide administrative support to the Director of Human Resources.
  • Assist department heads and managers with HR processes, forms, systems, and procedures.
  • Prepare HR reports, spreadsheets, correspondence, presentations, and other materials.
  • Assist with special projects and HR initiatives.
  • Provide HR department coverage and support during absences, peak periods, and seasonal hiring periods.
  • Perform other duties and responsibilities as assigned.
