About The Position

Reporting to the HR Manager, the Human Resources Coordinator plays a key role in supporting onboarding and operational HR processes for Professional Staff, including physicians, researchers, fellows, and residents. This position manages end‑to-end onboarding activities, ensures compliance with institutional and regulatory requirements, and serves as a central liaison between new hires, department leadership, payroll, credentialing, and other internal partners. The role requires strong attention to detail, discretion, and the ability to manage multiple onboarding activities simultaneously.

Requirements

  • Bachelor’s degree preferred or equivalent combination of education and experience
  • Prior experience in HR, onboarding, or administrative support preferred
  • Experience working with Workday and Beeline platforms is a plus
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • High level of attention to detail and accuracy
  • Ability to handle sensitive and confidential information with discretion
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Outlook, Excel, and other standard office applications
  • Familiarity with employment eligibility requirements and immigration documentation (e.g., I‑9 process, work authorization visas) preferred
  • Ability to work independently while contributing effectively as part of a team

Responsibilities

  • Coordinate all aspects of the onboarding process for new hires, from offer acceptance through start date
  • Create and maintain new employee records in Workday and Beeline platforms
  • Initiate and track background checks, education verifications, and other pre‑employment requirements
  • Coordinate completion of employment eligibility verification (I‑9) and E‑Verify processes
  • Partner with Occupational Health team to ensure timely medical clearance, as required
  • Serve as a primary point of contact for new hires providing guidance on onboarding steps and timelines
  • Support staff appointment process in accordance with the bylaws of the Professional Staff of the General Hospital.
  • Review, verify, and maintain sensitive employee and applicant documentation in secure databases
  • Respond to verification of employment and staff appointment requests
  • Act as liaison between HR, Payroll, Credentialing, and departmental leadership to resolve onboarding and pay‑related issues
  • Assist with identifying process gaps, inefficiencies, or documentation discrepancies and recommend improvements
  • Provide backup coverage for other HR team members as needed
  • Participate in special projects and other HR initiatives as assigned
