About The Position

The Human Resources Compliance Specialist supports HR operations by coordinating onboarding, personnel documentation, HR compliance tracking, employee records, required reporting, and administrative HR processes. This position serves as a key point of contact for HR-related processes and helps ensure documentation is accurate, complete, confidential, and maintained in accordance with NARA NW policies and applicable employment requirements. This position is responsible for coordinating and facilitating new employee orientation once per month over two days, ensuring onboarding documents are completed timely, maintaining personnel records, supporting contractor and intern onboarding, tracking required employee documentation, and assisting with HR reporting, audits, OSHA recordkeeping, employee verification requests, and other HR compliance processes.

Requirements

  • Either High School Diploma or General Educational Development (GED) certification required.
  • Minimum of two (2) years of progressively responsible Human Resources, HR operations, or HR compliance experience.
  • Experience with onboarding, personnel records, HR documentation, compliance tracking, HRIS systems, and reporting.
  • Working knowledge of federal, state, and local labor and employment laws.
  • Requires the ability to maintain a high degree of confidentiality.
  • Excellent computer skills.
  • Exceptional interpersonal and organizational skills.
  • Requires a high degree of flexibility and ability to multi-task.
  • Ability to prioritize effectively in a team environment.
  • Excellent critical thinking and decision-making skills.
  • Must pass pre-employment or for-cause drug screening.
  • Must pass criminal background and DMV checks.

Responsibilities

  • Coordinates and facilitates new employee orientation once per month over two days.
  • Coordinates the onboarding process for new hires in Paycom, including new hire checklists, required forms, onboarding documentation, and follow-up with recruiters and new employees.
  • Tracks and maintains required employee documentation, including CPR cards, training certificates, TB/HEP B/MMR documentation, driving verification, and other compliance-related records.
  • Maintains accurate and complete personnel records and HR documentation.
  • Assists with preparation of employee documents for audits, site reviews, and regulatory reviews, including OHA, ODHS, HRSA, CARF, and other review agencies.
  • Processes and tracks Personnel Action Forms for employee changes, including position, wage, status, and other employment changes.
  • Monitors the HR inbox and routes employee, manager, benefits, leave, payroll, recruitment, and compliance-related inquiries to the appropriate HR team member.
  • Maintains strict confidentiality of employee and organizational information.
