About The Position

Are you a detail-driven, people-focused administrative professional? If so, the Illinois Heartland Library System (IHLS) would love to meet you! IHLS is seeking a part-time Human Resources Assistant to support our HR team and help us serve our member libraries across central and southern Illinois. Whether coordinating onboarding, maintaining accurate records, or helping employees navigate benefits, your work will directly support the staff who keep library services strong in our communities. This is a part-time position scheduled for an 18-hour work week, split between three days, Monday through Friday. One hybrid remote workday is available. The starting pay range is $19.86 to $24.82 per hour. Summary The HR Assistant provides essential administrative and clerical support to the HR department while maintaining strict confidentiality. This role assists with new hire paperwork, interview scheduling, HRIS updates, data entry, file maintenance, and basic benefits and payroll support. The HR Assistant smooths HR processes, supports employee inquiries, and contributes to a positive employee experience.

Requirements

  • Associate degree in a related field or a minimum of four years of administrative experience.
  • At least one year of HR experience preferred.
  • HRIS experience preferred; Paylocity experience is a plus.
  • Valid driver’s license or ability to travel as needed.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and build effective working relationships.
  • Strong customer service mindset and a positive, professional attitude.
  • Ability to prioritize work, manage time effectively, and work independently.
  • Knowledge of administrative procedures, record management, and office systems.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.

Nice To Haves

  • HRIS experience preferred; Paylocity experience is a plus.

Responsibilities

  • Maintain confidentiality in all HR matters.
  • Post job openings, track applicants, schedule interviews, and coordinate onboarding.
  • Conduct background checks and manage drug screenings, physicals, and E-Verify submissions.
  • Manage digital and physical personnel files and perform other routine HR administrative tasks and communications.
  • Provide benefits support, including open enrollment activities.
  • Maintain HR supplies.
  • Support planning for staff events and employee engagement initiatives.
  • Assist with ad-hoc HR projects and general duties as assigned.
