About The Position

The HR Assistant acts as direct support for Clements Centre Society’s (CCS’) HR Generalist and leadership team, assisting with the full cycle of employee management. Activities include recruitment; support with selection and hiring; onboarding, training and orientation; assisting with activities related to performance management, discipline, and leaves; engagement and retention. The HR Assistant supports CCS’ HR Generalist to ensure effective oversight of HR processes and documentation, and compliance with all government and funding agency regulations.

Requirements

  • Degree or diploma in Human Resources
  • Three years of experience in all aspects of personnel management
  • Training in leadership preferred
  • Interviewing and assessment experience
  • Knowledge of Workers’ Compensation Act and Regulations
  • Knowledge of relevant CARF standards preferred
  • Knowledge of not-for-profit organizations, unionized environments, applicable legislation, policies and issues surrounding community-based programs preferred
  • Current, satisfactory criminal record search
  • Good interpersonal communications skills and the ability to foster positive relationships
  • Demonstrated teamwork, facilitation, and leadership abilities
  • Ability to function independently, while managing multiple agendas and deadlines
  • Strong attention to detail
  • Strong time management and organizational skills
  • Fluency with Microsoft Office Suite; comfort learning new HRIS management platforms

Responsibilities

  • Assist in handling confidential personnel records, disciplinary actions, and employment contracts
  • Support HR leadership in preparing reports and documentation for labor relations matters, including grievance resolutions and contract negotiations
  • Participate in confidential meetings related to employee relations, policy reinforcement, and organizational restructuring
  • Assist in conducting workplace investigations and preparing related reports
  • Participates in the recruitment, selection, hiring, and onboarding of new employees
  • Assists in creating job postings on external websites and using HRIS, as appropriate
  • Participates in job and recruitment fairs in event of HR Generalist’s absence, or as requested
  • Assists HR Generalist to review all applications and coordinate with respective hiring teams
  • Supports the entire interview process
  • When requested, performs background checks on final candidates (criminal record check, references and educational qualifications)
  • Prepares and distributes orientation package for new employees
  • Meets with new hires; ensures that an orientation/hire checklist for new hires is completed; files completed and signed checklists in employees’ files
  • Follows up with candidates throughout the employment process
  • Assists in tracking job posting outcomes; records according to CCS processes
  • Maintains database of potential candidates for future openings
  • Maintains confidentiality, security, and integrity of all personnel files
  • Supports the HR Generalist to keep CCS’ administration/payroll team informed of employee assignment changes
  • Ensures all conditions of employment are kept current and completed
  • Ensures employees have adequate knowledge and ability to perform their duties, including onboarding to training platforms
  • Works with HR Generalist to organize and deliver employee training, and record and collect training statistics
  • Helps ensure that hiring requirements and requirements of ongoing employment are met and tracked
  • Supports HR Generalist in ensuring compliance with WorkSafe BC reporting requirements
  • Assists HR Generalist to monitor leaves of absence, including WorkSafe BC, EIP, LTD, etc.
  • Works under the direction of the HR Generalist to support return-to-work plans
