About The Position

Provides administrative and operational support across the Human Resources function, helping ensure accurate employee records, effective recruiting and onboarding, timely benefit and payroll-related administration, responsive employee service, and consistent execution of Human Resources processes. The Human Resources Assistant handles confidential information, supports employees and managers with routine HR needs, and develops broad knowledge of Bank policies, employment practices, and Human Resources systems while working under the direction of the Chief Human Resources Officer.

Requirements

  • High school diploma required, college degree preferred.
  • Previous Human Resources experience or education/coursework in Human Resources, business administration, or a related field is required.
  • Strong organizational, written communication, interpersonal, and customer-service skills.
  • Ability to maintain confidentiality, exercise sound judgment, and work accurately with sensitive information.
  • Proficiency with Microsoft Office and the ability to learn Human Resources, payroll, recruiting, and other Bank systems.
  • Ability to manage multiple priorities, meet deadlines, follow established procedures, and ask appropriate questions when guidance is needed.

  • Associate or bachelor degree, Human Resources certificate, or additional HR-related education is preferred.

Responsibilities

  • Maintain accurate and confidential employee records, personnel files, HRIS information, and supporting documentation in accordance with established procedures.
  • Prepare, process, and file routine personnel documents related to hires, transfers, promotions, compensation changes, benefit elections, leaves, and employment separations as assigned.
  • Assist with employee data entry, reports, forms, correspondence, and other Human Resources administrative activities, verifying information for completeness and accuracy.
  • Respond to routine employee and manager questions and direct more complex or sensitive matters to the appropriate Human Resources resource.
  • Support recruiting activities by coordinating job postings, applicant materials, interview scheduling, candidate communication, and pre-employment requirements.
  • Assist with new-hire onboarding, orientation materials, required forms, system access coordination, and follow-up to help provide a consistent employee experience.
  • Support internal job changes, transfers, promotions, and separations by coordinating required documentation, communications, and administrative steps.
  • Maintain organized recruiting and onboarding records and help ensure required steps are completed timely.
  • Provide administrative support for employee benefit enrollment, changes, eligibility, communications, and routine employee questions.
  • Assist with collection and entry of authorized employee information affecting payroll, benefits, deductions, leave, and employment status and promptly escalate discrepancies.
  • Support leave administration and other employee programs by maintaining documentation, tracking required information, and coordinating routine communications under established procedures.
  • Work with Human Resources, Payroll, Accounting, employees, managers, and vendors to research and resolve routine administrative issues.
  • Provide professional, timely, and courteous support to employees and managers while maintaining appropriate confidentiality and discretion.
  • Assist with employee communications, training coordination, recognition activities, meetings, surveys, and other Human Resources initiatives as assigned.
  • Maintain Human Resources calendars, schedules, supplies, files, and other departmental resources necessary for efficient operation.
  • Learn Bank Human Resources practices, policies, systems, and procedures and progressively assume broader responsibilities as knowledge and proficiency develop.
  • Identify routine administrative or workflow issues and recommend opportunities to improve organization, consistency, service, or efficiency.
  • Protect the confidentiality of employee, applicant, compensation, benefit, payroll, medical, and other sensitive personnel information.
  • Follow Bank policies, Human Resources procedures, record-retention requirements, and applicable employment-related legal and regulatory requirements within the scope of assigned duties.
  • Maintain accurate documentation and obtain required approvals before processing employee-related changes or releasing confidential information.
  • Promptly escalate suspected errors, confidentiality concerns, policy exceptions, employee-relations matters, or other issues outside assigned authority to the Chief Human Resources Officer.
  • Prioritize assigned administrative work and routine employee requests within established deadlines, procedures, and service expectations.
  • Complete routine Human Resources transactions and communications within assigned authority and seek guidance when information is incomplete, inconsistent, sensitive, or outside established procedures.
  • Exercise discretion when handling confidential information and determine when matters require escalation to a more senior Human Resources resource.
  • Recommend administrative, workflow, or service improvements based on day-to-day experience and identified opportunities.
