About The Position

Harvard Business School’s Human Resources team is seeking a highly organized, detail-oriented HR Assistant to provide administrative, coordination, and program support across a broad range of HR activities. As a key member of the HR team, you will serve as a welcoming first point of contact for the department while supporting events, communications, learning and development programs, financial and administrative processes, and employee recognition initiatives. Requirements

  • High school diploma, GED, or equivalent required.
  • 3+ years of experience in administrative support role(s) is required.
  • Education beyond high school may count toward the required experience.
  • Microsoft Office (Word, Excel, PowerPoint and Outlook) experience is a must.
  • A strong commitment to confidentiality and discretion when handling sensitive information.
  • Exceptional attention to detail and accuracy.
  • A customer-service mindset and a commitment to providing a high level of service to colleagues, employees, visitors, and other stakeholders.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Ability to work effectively both independently and as part of a collaborative team.
  • Ability and willingness to learn new systems, processes, and technologies quickly.

Nice To Haves

  • Prior experience with content management applications is helpful.
  • Familiarity with databases and search techniques is helpful.
  • Proficiency with Canva.

Responsibilities

  • Coordinate HR events, serve as a welcoming and professional front-facing representative of HBS Human Resources in-person and on the phone, maintain departmental calendar and supplies.
  • Process invoices, perform weekly financial sweeps, work with HBS Financial Office to resolve issues.
  • Process requests for Rewards & Recognitions (R&Rs), working closely with consultants and HBS Payroll.
  • Work closely with Chief Human Resources Officer on production of the monthly HR Digest and serve as back-up for the monthly staff newsletter Notices.
  • Assist with full range of Learning and Development and employee engagement sessions, including the HBS Orientation Program. Prepare materials, set up and monitor courses in Harvard Training Portal, order supplies, schedule classrooms. Collaborate with colleagues across HBS and other University departments to ensure a high level of service and effective program delivery.
  • Support additional HR projects and initiatives as needed, often acting as a backup to others. Build trust and collaboration by being present on-site and engaging directly with colleagues and various constituents. This role is responsible for other duties as assigned.
