This role supports the Administrative/Finance department and reports to the Director of Finance and General Manager. The position is Salaried and Exempt. Requirements

  • High school diploma or G.E.D.
  • Minimum of two years of experience processing payroll in ADP
  • Strong familiarity in managing payroll functions
  • Excellent oral, written, and interpersonal communication skills
  • Strong data entry abilities
  • Solid foundation in basic accounting
  • Clear understanding of payroll taxes, laws, regulations, and compliance requirements
  • Ability to work both independently and collaboratively
  • Ability to meet strict deadlines
  • Ability to perform effectively under pressure while maintaining close attention to detail
  • High level of proficiency in Microsoft Word, Excel, and PowerPoint

Nice To Haves

  • Accounting degree preferred
  • Experience working in Workday is highly preferred

Responsibilities

  • Assists in composing, preparing, and reviewing departmental reports, data, and audits on a monthly, quarterly, and annual basis to ensure accurate accounting and reliable information for planning, expenditure projections, and forecasting.
  • Maintains strict employee and organizational confidentiality in accordance with organizational, local, state, and federal laws, regulations, and policies.
  • Accurately prepares, maintains, and balances employee wage worksheets—including taxes and deductions—and performs data entry using accounting software to process payroll.
  • Ensures the timely and accurate transmission of payroll funds, payroll taxes, and all required deductions.
  • Manages benefit enrollment and cancellation processes for newly hired and separated personnel.
  • Coordinates confidential and accurate recordkeeping, data entry, documentation, and filing of all personnel and payroll changes, including promotions, transfers, leaves of absence, new hires, separations, pension calculations, and other administrative functions.
  • Assists in compiling and documenting employee data for census reporting and recordkeeping related to benefits, insurance, workers’ compensation, pension plans, unemployment, OSHA, leave programs, and employee hours.
  • Participates in applicant screening, reference and background checks, interview scheduling, and hiring processes, serving on interview committees as needed and in compliance with all applicable guidelines.
  • Ensures proper administration of employee manuals and collective bargaining agreements as they relate to payroll and HR functions, while maintaining confidential operational and recordkeeping processes.
  • Coordinates accurate and timely employee separation processes.
  • Collaborates with management and bargaining unit personnel to ensure compliance with collective bargaining agreements.
  • Compiles confidential data for HR, payroll, tax, pension, and unemployment reports, including preparing schedules for annual audits.
  • Ensures a safe, harassment‑free environment and compliance with OSHA standards and all relevant laws, including FMLA and ADA.
  • Assists in coordinating organizational services with community organizations as it relates to community engagement and participates in committees, meetings, and special events.
  • Conducts regular inspections of personnel and payroll files, processes, equipment, and supplies, sharing findings with the General Manager to maintain accuracy and efficiency.
  • Assists with organizational and departmental audits as directed.
  • Requires flexibility for irregular schedules, including evenings, weekends, and holidays, and may involve assignments outside the listed job specifications.
  • Requires ongoing knowledge of departmental policies, procedures, safety guidelines, and programs.
  • Compiles, coordinates, and reports documentation to agencies such as UIA, OSHA, ADA, ERISA, COBRA, HIPAA, FMLA, and ACA, while staying informed of regulatory updates.
  • Participates in confidential investigations of employee complaints, processes unemployment insurance claims and disputes, and participates in hearings as needed.
  • Reconciles benefit invoices, resolves discrepancies, and adheres to all departmental and organizational policies.
  • Attendance or travel may be required for off‑site meetings or events, and other duties may be assigned.
  • Stays informed about industry, payroll, and HR trends; researches best practices and policy developments at local, state, and federal levels; and maintains familiarity with the Greater Lansing region to enhance employee, customer, and guest services.
