As a Human Resources & Operations Admin at Mclaurin Aerospace, you will be responsible for supporting the day-to-day functions of Human Resources, Operations, and Contract Administration. This role coordinates key HR processes such as onboarding, employee records management, compliance, and benefits administration, while also assisting with operational workflows and contract documentation. This is a part-time position (approximately 20 hours per week) with the potential to transition into a full-time role based on business needs and performance. The ideal candidate is highly organized, detail-oriented, and comfortable managing responsibilities across multiple functional areas.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience)
  • 2+ years of experience in HR, administration, operations, contract support, or a related role preferred
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • High level of discretion and ability to handle sensitive and confidential information
  • Detail-oriented, proactive, and adaptable with a strong problem-solving mindset
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • US Citizenship and the ability to pass a comprehensive security background investigation is required.

Nice To Haves

  • Exposure to government contracting or subcontracting environments preferred, particularly supporting prime contractors or regulated industries
  • Basic familiarity with federal contracting requirements (e.g., FAR/DFARS concepts, flow-down clauses) is a plus, but not required
  • Familiarity with employment laws and HR best practices is a plus
  • Experience with HRIS and ATS platforms and timekeeping systems preferred

Responsibilities

  • Coordinate onboarding for new hires
  • Maintain and update HR records, employee databases, and personnel files in compliance with company policies and legal requirements
  • Support timekeeping processes
  • Assist with benefits administration and employee communications
  • Support HR compliance activities, audits, and reporting requirements
  • Respond to employee inquiries regarding HR policies, procedures, and programs
  • Create, maintain, and update HR procedures and documentation
  • Support employee engagement initiatives and internal communications
  • Assist with day-to-day operational processes
  • Track and help manage internal projects, workflows, and deadlines
  • Support continuous improvement initiatives by documenting and streamlining organizational procedures
  • Coordinate administrative logistics such as scheduling, reporting, and internal communications
  • Assist in the administration of subcontracts issued under U.S. Government prime contracts, ensuring alignment with prime contract requirements and expectations
  • Support the review and processing of incoming subcontract agreements, NDAs, and teaming agreements from prime contractors
  • Ensure required flow-down provisions from prime contracts (including applicable FAR/DFARS clauses) are properly incorporated and tracked
  • Maintain organized, accurate, and audit-ready subcontract files in accordance with company policies and federal recordkeeping requirements
  • Track key subcontract elements including periods of performance, funded value, labor categories, deliverables, and option periods
  • Coordinate with internal teams (HR, Finance, Operations) to ensure compliance with subcontract terms, including labor qualifications, timekeeping, and billing requirements
  • Assist with subcontractor and consultant onboarding in alignment with contract requirements (e.g., representations and certifications, compliance documentation, security requirements)
  • Monitor and track compliance with subcontract reporting requirements, deliverables, and data submissions to prime contractors
  • Support preparation for audits and reviews, including DCAA audits, prime contractor audits, and internal compliance checks
  • Assist in maintaining compliance with regulatory requirements such as CMMC, ITAR, and Controlled Unclassified Information (CUI) handling, as applicable
  • Track and flag potential risks such as scope changes, funding limitations, or performance issues, escalating as appropriate
  • Help ensure proper documentation and coordination for subcontract modifications, extensions, and closeout activities
