About The Position

Reporting to the Associate Director of Talent and Organizational Effectiveness, the Human Resources Advisor (HRA) provides comprehensive and operational HR guidance to the James Shared Services Team (JSST) units. Establishes and maintains effective working relationships with unit heads, including Directors and Senior Administration and Managers. Participates in the delivery of HR services and the implementation of new policies and initiatives. Act as an HR generalist in areas such as compensation administration, talent acquisition, labour and employee relations, organizational development and benefits/disability management. Contributes to the continuous improvement of HR procedures and processes in response to the evolving needs and goals of James Shared Services.

  • Demonstrated Undergraduate experience in implementing strategic initiatives in large, complex or academic environments.
  • Proven experience in working in a unionized environment
  • Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #4 on a scale of 0-4.

Responsibilities

  • Provide HR advice and support to managers, directors and employees regarding policies and procedures on human resources matters, including talent acquisition, labor and employee relations, organizational development, compensation, benefits and disability management, and organizational development.
  • Advise managers on the interpretation and application of HR policies, collective agreements, and institutional procedures, referring complex matters to Labour and Employee Relations as appropriate.
  • Provide support on labour issues by gathering background information, assisting with investigations, providing follow‑up, keeping managers informed of file status, and liaising with HR Labor and Employee Relations throughout the grievance and arbitration processes.
  • Participate in disciplinary meetings as a resource to managers and provide guidance on progressive discipline, performance improvement steps, and the preparation of disciplinary documentation, in collaboration with Labour Relations.
  • Support operational recruitment activities for assigned JSST client group, including preparing job postings.
  • Liaise with HR Talent Acquisition.
  • Conduct exit interviews, compile turnover data, and provide input to support retention efforts, while staying informed of current trends and developments in human resource management.
  • Advise, review and process requests in Workday related to compensation requests, including requests for new position, job re‑matching, promotions, hiring salary, base salary and non base adjustment requests, ensuring alignment with policies and internal equity; conduct job audits as required.
  • Propose and advise on the implementation of structural changes as necessary in accordance with collective agreements, internal policies, employment legislation, and organizational needs.
  • Assist managers throughout the Annual Compensation Review process by explaining guidelines and timelines, validating data, and supporting the implementation of approved compensation decisions.
  • Act as liaison with HR Compensation during the process.
  • Support the performance dialogue process by providing guidance to managers and directors on documenting objectives, conducting performance discussions, addressing performance concerns, and identifying training and development needs often related to performance improvement plans.
  • Advise on performance issues and performance improvement plans.
  • Provide guidance in the onboarding, orientation and probation review process.
  • Assist with organizational reviews and workforce planning initiatives by providing input on job abolitions, reassignments, and development needs.
  • Collaborate with the HR Benefits and Disability Management, and managers to support the effective administration of disability and leave cases; assist with coordinating short‑ and long‑term disability processes and providing information on leave entitlements.
  • Represent the unit at Human Resources‑related meetings, including Labour Relations or working committees, as required, and contribute to HR projects, working groups, and initiatives aimed at improving HR practices.
