About The Position

Conifer Park is looking for a Human Resource Specialist to join our HR team. As an HR specialist you will be responsible for supporting recruitment activities, managing the onboarding system, assisting with onboarding processes, handling offer letters, scheduling orientation, compiling employee files, generating reports on credentials and licensing, ensuring healthcare requirements are current, processing invoices for pre-employment physicals, assisting managers and employees with HR-related questions, participating in employee engagement activities, and initiating the three-month calendar process for staff. The role also includes other duties such as assembling "Call Out Line" records and supporting project-related work.

Requirements

  • Associates Degree with minimum of 2-3 years’ human resource experience; or Bachelor’s Degree with one year’s work experience in a fast paced human resource department.
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation.
  • Strong interpersonal and communication skills
  • Strong customer service skills dealing with internal and external customers
  • Excellent computer skills and experience with Microsoft Office platform, and Applicant Tracking or onboarding Systems.
  • Strong organizational skills, ability to multi-task and prioritize work responsibility.

  • Work experience in Human Resources office as a representative or entry level generalist

Responsibilities

  • Supports the recruitment activities for all Conifer Park sites, inpatient and outpatient; including requisition, posting jobs internally, maintaining and ensuring the accuracy of the current open positions report.
  • Coordinates scheduling and materials for the Open Positions meeting; attends outpatient Directors call as requested
  • Ensures all job postings for union positions are maintained and posted per timings identified within the union contract. Manages opening and closing of requisitions
  • Manages the Onboarding System as part of the overall Human Resource Information System. Manages forms, packets and information requested through the Onboarding System. Responsible for candidate management, and final entry for submission to the HRIS within the onboarding module.
  • Responsible for supporting onboarding processes including pre-authorization; not limited to reference checking, background and employment screening, and salary recommendations for manager approval
  • Responsible for verbal and written offer letters, including tracking returned documents and file management
  • Manages the scheduling of orientation; including manager notification, new hire confirmation, policy and regulatory sign offs. Conducts orientation for managers/delegates who cannot attend orientation
  • Compiles employee files and submits for review to the Director. Ensures employee access to computer network systems.
  • Generates monthly report of credentials and licensing; emails respective employees and managers requesting updated information for compliance
  • Ensures all healthcare requirements including Flu, PPD and CPR are current by sending reminder emails to respective employees and managers. Arranges for onsite CPR as needed.
  • Receives, reviews for accuracy and approves all invoices for pre-employment physicals and testing. Processes check requests in a timely manner
  • Assists managers and employees with questions and concerns regarding open positions, job posting, and Human Resource related matters. Accessible to employees for employment related questions or concerns, communicates to others as required.
  • Participates or leads employee engagement activities in order to improve employee retention
  • Initiates the three-month calendar process for inpatient and outpatient staff per the Union Contract. Receives final, approved calendars from the various departments and maintains master records of the calendars.
  • Offer suggestions for change or improvement of the human resource function
  • Acts as primary for assembling the “Call Out Line” records of absences during the workday and communicating call outs to managers. During times of absence, this will be assigned to the Payroll Specialist.
  • Supports project related work as requested or needed
  • Other duties as requested or assigned
