About The Position

Key Responsibilities: · Manage and maintain the EVP of HR’s calendar, including scheduling meetings, coordinating appointments and travel plans, and prioritizing commitments · Prepare and organize materials for meetings, presentations, and reports · Handle confidential and sensitive information with a high degree of discretion · Coordinate internal and external meetings, including logistics, agendas, and follow-ups · Arrange travel, including flights, accommodations, and itineraries · Provide general administrative support to the HR team, including filing, document management, and data entry · Assist with onboarding logistics and coordination for new hires · Maintain organized records of HR documents in compliance with company policies · Process and track departmental invoices, ensuring timely and accurate payments · Manage expense reimbursements for HR leadership and team members · Maintain accurate records of expenses and assist with budget tracking as needed · Answer and route correspondences to the appropriate individual. · Receive, sort, and distribute incoming mail and packages · Route correspondence to the appropriate department, region, or individual in a timely manner · Prepare and process outgoing mail, including shipments and courier services · Maintain organized mail distribution systems to ensure efficiency and accuracy · Coordinate department events, meetings, and team activities · Serve as a point of contact for internal stakeholders and external vendors · Assist with other administrative tasks. What we are looking for: · 2+ years of administrative experience, preferably in a HR office environment. · Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) · Excellent organizational, time management, and multitasking skills · Strong written and verbal communication skills · Ability to handle confidential information with integrity and discretion Detail oriented with strong problem solving abilities · Ability to prioritize work and meet deadlines · Ability to work in a fast paced environment, handling multiple tasks and work under time constraints · A willingness to do whatever it takes to earn a “Thank You.
