About The Position

The HRIS Coordinator will manage HRIS-related inquiries, provide administrative support to the HRIS team, and ensure the accuracy and maintenance of employee records within the HRIS system. This role serves as the first point of contact for general HRIS and employee data inquiries and assists with system maintenance, troubleshooting, and training support. The position also involves processing verification requests and supporting data integrity and compliance audits.

Requirements

  • 1–2 years of experience in HR, HRIS, or a related administrative, clerical or customer service
  • Experience managing high-volume requests and handling confidential employee data.
  • Strong understanding of HR processes, data accuracy, and confidentiality requirements.
  • Excellent organizational skills and time management skills with the ability to prioritize multiple requests efficiently.
  • Exceptional attention to detail and accuracy in all tasks.
  • Proficiency with Microsoft Office Suite, particularly Excel and Outlook.
  • Basic problem-solving abilities with a proven capacity to troubleshoot issues effectively.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Excellent communication and interpersonal skills to collaborate effectively with team members and stakeholders.
  • Demonstrated ability to handle confidential information with the highest level of integrity.
  • Quick learner with the ability to adapt to new systems and technologies swiftly.

Responsibilities

  • Manage all HRIS-related inquiries via the shared HRIS mailbox, ensuring timely responses or escalations.
  • Manage the HRIS mailbox by reviewing, responding to and appropriately redirecting inquiries to the relevant team members.
  • Provide clerical and administrative support to the HRIS team, including document management, filing, meeting and note-taking coordination, creating and updating user guides and process documentation.
  • Serve as the first point of contact for general HRIS and employee data inquiries.
  • Support Analysts with Tier 2 inquiries by gathering necessary information or documentation related to tickets or process updates.
  • Enter and update employee records in the HRIS system to ensure accuracy and compliance, as needed.
  • Support HRIS Analysts with processing of employee transfers, reinstatements, and other changes in employment status.
  • Maintain up-to-date and organized employee data for reporting and audit purposes.
  • Leads union due changes at the employee level and leads weekly union tasks meeting and report updates.
  • Support Analysts with job code creation, as needed.
  • Assist the HRIS team with testing during system upgrades and implementing of new features.
  • Identify and troubleshoot basic system issues, escalating more complex problems to HRIS Analysts or the HCM Manager, as needed.
  • Supports Analysts with the updating of system configuration.
  • Assist in onboarding new HRIS users by setting up accounts, providing system access, and walking users through basic navigation.
  • Train new users on login procedures and serve as a Me@Keolis ambassador and onboard new users effectively.
  • Support the coordination of HRIS training sessions and help develop user materials as needed.
  • Conduct training sessions for Recruiting, Onboarding and Process Hires functionality and other new modules.
  • Process unemployment, disability, and employment verification requests in accordance with company and legal requirements.
  • Maintain accurate records and ensure confidentiality throughout the verification process.
  • Respond to data or transaction questions from unionized locations, ensuring compliance with CBAs.
  • Other duties, as assigned to support the HRIS function.
  • Support HRIS Analysts in conducting data integrity and compliance audits within the HRIS system.
  • Identify discrepancies and partner with Analysts and HR and other stakeholders to correct errors.
  • Support with the development of documentation of audit findings and follow-up actions.
  • Ensure strict compliance with data protection and privacy regulations, maintaining the highest standards of confidentiality.
