About The Position

The HRIS Administrator is responsible for the administration, maintenance, optimization, and ongoing support of Charles River Center's Human Resources Information System (HRIS), including Paycom and related HR technology. This position serves as the primary HRIS resource for the organization and partners closely with Human Resources, Payroll, Finance, IT, managers, and employees to ensure the accuracy, integrity, security, and effective use of HR systems. The HRIS Administrator will oversee day-to-day HRIS administration, employee data management, reporting, system workflows, time and attendance support, performance management processes, recruiting and onboarding system functions, benefits-related system administration, and user training. The position will also identify opportunities to improve HR processes through automation, system enhancements, improved reporting, and better utilization of existing HR technology.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, Information Systems, or a related field, or equivalent combination of education and relevant experience.
  • 3–5 years of progressive experience administering an HRIS or supporting HR technology.
  • Demonstrated experience maintaining employee data within a complex HRIS environment.
  • Strong understanding of HR processes across the employee lifecycle.
  • Strong analytical and problem-solving skills.
  • Excellent attention to detail and data accuracy.
  • Strong Excel and reporting skills.
  • Ability to troubleshoot system issues and communicate technical information to non-technical users.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple priorities and deadlines independently.
  • Strong written and verbal communication skills.
  • Ability to handle highly confidential employee information with discretion.

Nice To Haves

  • Experience with Paycom or a comparable HRIS.
  • Experience administering multiple HRIS modules, including Time & Attendance, Recruiting, Talent Management, Performance Management, and Benefits.
  • Experience with HRIS implementation, configuration, system testing, or upgrades.
  • Experience developing HR reports and conducting HR data audits.
  • Experience providing HRIS training to managers and employees.
  • Experience working in a nonprofit, healthcare, human services, or similarly regulated environment.

Responsibilities

  • Serve as the primary administrator and subject matter expert for Paycom and other HR technology platforms.
  • Maintain accurate employee, organizational, compensation, position, and employment data within the HRIS.
  • Manage employee lifecycle transactions, including new hires, transfers, promotions, demotions, status changes, leaves, schedule changes, and terminations.
  • Maintain HRIS workflows, approval processes, security roles, and user access.
  • Troubleshoot system issues and coordinate with Paycom, vendors, and internal IT resources when additional support is required.
  • Monitor system functionality and recommend enhancements that improve efficiency and the employee or manager experience.
  • Participate in system updates, testing, implementations, and new module rollouts.
  • Conduct regular audits to identify and correct data inconsistencies and errors.
  • Maintain data integrity and ensure HRIS records accurately reflect employee status and organizational structure.
  • Develop, maintain, and distribute recurring HR reports.
  • Create ad hoc reports and data analyses to support HR and organizational decision-making.
  • Support compliance reporting and HR data requests.
  • Identify trends, discrepancies, and opportunities for process improvement through HRIS data.
  • Administer and monitor HRIS timekeeping functionality.
  • Support managers and employees with timekeeping and timecard questions.
  • Review and troubleshoot timekeeping issues and system exceptions.
  • Partner with Payroll and Finance to ensure accurate HRIS data flows into payroll processes.
  • Assist with configuration and maintenance of schedules, departments, positions, and other timekeeping-related information.
  • Manage HRIS recruiting and applicant tracking processes.
  • Maintain recruiting workflows, templates, requisition information, and system settings.
  • Coordinate the HRIS portion of the new-hire process.
  • Ensure new employees are entered accurately and timely into the HRIS.
  • Support onboarding workflows and employee self-service functionality.
  • Assist with offboarding and system access changes when employees separate from the organization.
  • Administer performance management workflows within Paycom.
  • Maintain performance review templates and system processes.
  • Monitor review cycles and completion.
  • Support managers with performance management system questions and troubleshooting.
  • Generate reports related to performance review completion and workflow activity.
  • Support HRIS administration related to employee benefits and eligibility.
  • Maintain benefits eligibility profiles and employee benefit-related information.
  • Assist with annual Open Enrollment system configuration and testing.
  • Support employees and managers with HRIS-related benefits enrollment questions.
  • Coordinate with benefit vendors and HR team members to resolve system issues.
  • Provide individual and group training to employees and managers on Paycom and related HR technology.
  • Develop and maintain user guides, procedures, training materials, and HRIS documentation.
  • Serve as a resource for managers experiencing system issues or needing assistance with HRIS processes.
  • Communicate system changes, updates, and new functionality to employees and managers.
  • Promote effective utilization of employee self-service and manager self-service tools.
  • Maintain confidentiality and security of employee information.
  • Support HR compliance processes through accurate HRIS data and reporting.
  • Assist with I-9, personnel records, and other compliance-related HRIS processes as assigned.
  • Ensure HRIS practices are consistent with organizational policies and applicable federal and Massachusetts requirements.
  • Follow established data security and privacy procedures.
  • Identify opportunities to automate, streamline, and improve HR processes through HRIS functionality.
  • Evaluate existing workflows and recommend improvements.
  • Participate in HR technology projects, system implementations, integrations, and upgrades.
  • Partner with HR leadership to assess organizational needs and identify opportunities to better utilize Paycom.
  • Document HRIS processes and establish standardized procedures.
