Heinzerling Community is seeking a detail-oriented, dependable, and organized Human Resources & Payroll Coordinator to support our HR and payroll operations. This position plays a critical role in ensuring the accuracy of employee records, payroll processing, and HR compliance while providing exceptional service to employees throughout their employment journey. The ideal candidate has a strong eye for detail, enjoys auditing and maintaining accurate records, values confidentiality, and thrives in a fast-paced, collaborative environment.

Requirements

  • Exceptional attention to detail with a strong focus on accuracy and quality.
  • Experience reviewing, auditing, and maintaining confidential records.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Collaborative, dependable, and customer-service oriented.

Nice To Haves

  • Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field, or equivalent experience preferred.
  • Previous Human Resources, Payroll, or Administrative experience preferred.
  • Experience using ADP or another HRIS/payroll system.
  • Knowledge of employment laws, payroll processes, and HR compliance requirements.

Responsibilities

  • Reviewing timecards for up to 500 employees
  • Assist with the preparation, processing, and auditing of payroll to ensure accuracy and timely completion.
  • Review payroll reports and employee data for accuracy, identifying and resolving discrepancies.
  • Audit employee records and HR documentation to ensure compliance with organizational policies and applicable employment laws.
  • Support internal HR and payroll audits, compliance reviews, and reporting requirements.
  • Maintain accurate payroll and personnel records within ADP and other HR systems.
  • Maintain confidential employee files and electronic personnel records.
  • Process employee data changes, including new hires, transfers, status changes, and terminations.
  • Assemble, review, and audit new hire paperwork, including I-9s, tax forms, direct deposit information, and other employment documents.
  • Conduct background checks, reference checks, and exclusion screenings.
  • Create and issue employee identification badges.
  • Respond to employee and applicant questions regarding standard HR and payroll processes.
  • Assist with surveys, reporting, and regulatory compliance activities.
  • Support employee recognition programs and other HR initiatives.
  • Participate in new hire orientation and onboarding activities.
  • Maintain the highest level of confidentiality while handling sensitive employee information.
