Methodist Health System is seeking a Recruiting Assistant to support our team in attracting and onboarding top talent. In this role, you will support our recruiters, help onboard amazing new talent, and create a welcoming experience that sets the stage for success. If you are organized, energetic, and ready to make an impact, we want to hear from you! This position will be required, at times, to travel at other locations to provide coverage.

Requirements

  • High school graduate or G.E.D required.
  • 1 year experience working in an office environment as a secretary required, preferably in Human Resources.
  • Knowledge of office procedures particular to Human Resources.
  • Skill in Microsoft word, data entry, office procedures and Outlook.
  • Skill in typing 50 wpm.
  • Ability to maintain a high level of confidentiality.
  • Ability to prioritize and organize work.
  • Strong verbal communication skill for positive interaction with applicants, staff and managers.
  • Able to follow written and verbal instructions required.
  • Able to work as a team member required.
  • Able to read, write and comprehend various written reports and documents required.

Nice To Haves

  • Associates degree in a business related field preferred.

Responsibilities

  • Completes secretarial/receptionist support for efficient and effective departmental workflow processes by providing team support for the Recruiters, Employment Director and HR Division. Types, photocopies, types word documents, utilizes spreadsheet and database computer software packages, and prioritizes other duties.   • Assists the recruiters with the employment paper work by processing the Criminal Background and education checks, Sex Offender Registries, print job descriptions, job requirements and licensures. Positive feedback from recruiters Timely and accurate
  • Assists the recruiters with contacting applicants on the status of their application, completing references, call applicants on regret calls and setting up interviews with applicants with recruiters and/or managers. Positive feedback from recruiters Timely and accurate
  • Files applications and candidate rating forms after interviews have been completed. Purges old candidate rating forms according to policy. Timely and accurate No negative feedback from employees who submit a transfer Positive feedback from recruiters
  • Posts jobs on Career Link website and other social media sites per recruiters' request. Timely and accurate No negative feedback from applicants Positive feedback from recruiters
  • Completes check requests for employment related bills and sends to Accounts Payable. Timely and accurate
  • Processes payroll for the Employment and Employee Health Department. Timely and accurate
  • Assists current employees with Human Resources related questions by directing them to the appropriate resource. No negative feedback from employees or management team
  • Provide exceptional customer service support for the Employment Office. First contact for applicants via phone or in person. Also provide customer services for current employees and managers. Positive feedback from applicants, recruiters and management team
  • Provides customer service to promote a positive image by answering, screening and directing phone calls, greeting and directing applicants/visitors/employees and answering questions. Timely No customer complaints
  • Provides job application status to job applicants per request. No customer complaints
  • Processes paperwork to enhance communication by opening, sorting and distributing mail.
  • Completes departmental projects and miscellaneous duties as assigned by management.
  • Orders and maintains office supplies for the Employment Department. Orders accurately
  • Prints photo ID badges for employees and maintains photo id supplies and printer. Prints accurately Maintains appropriate level of supplies
