About The Position

The HR Records Compliance Specialist is responsible for ensuring the integrity, accuracy, and regulatory compliance of employee records across the organization. This role requires deeper knowledge of compliance requirements, independent judgment, and the ability to conduct audits, interpret policies, and support regulatory readiness in a healthcare setting.

Requirements

  • Associate’s or Bachelor’s Degree in Human Resources, Healthcare Administration, or related field (or equivalent work experience)
  • 2 years+ of HR, compliance, or records management experience, required.
  • Working knowledge of employment regulations (e.g., I-9, FLSA basics) and healthcare compliance requirements
  • Strong analytical and problem-solving skills
  • Ability to manage multiple priorities and deadlines
  • Experience with HRIS systems and audit tools

Nice To Haves

  • Experience in healthcare or regulated environments, preferred.
  • Familiarity with I-9 documentation, license tracking, or personnel file audits, preferred.
  • Experience in healthcare HR, credentialing, or regulatory compliance
  • Familiarity with accreditation standards (e.g., Joint Commission)

Responsibilities

  • Conduct detailed audits of employee records to ensure compliance with federal, state, and healthcare regulatory requirements
  • Review and validate complex documentation (e.g., licensure, certifications, background checks, I-9 compliance)
  • Investigate and resolve discrepancies in employee records
  • Serve as a subject matter resource for recordkeeping and compliance standards
  • Support regulatory surveys, audits, and accreditation processes
  • Review and respond to unemployment claims to ensure timely submission of requested information
  • Maintain tracking systems for licenses, certifications, and required documentation
  • Identify trends or gaps in compliance and recommend process improvements
  • Partner with HR, compliance, and operational leaders to process record requests
  • May provide guidance or training to entry-level staff
