About The Position

Visium Resources has been asked to identify qualified candidates for this HR Assistant position. This position is a contract opportunity which is expected to be on-site in Tampa, FL for a duration of 2+ months with a possible extension. The HR Assistant will provide support in functional areas of Human Resources, including but not limited to, recruitment, employee services, training, and special projects. Performs additional duties including employee communications, aggregating information for reporting purposes, streamlining processes, training campus HR assistants on badge and employee services processes, performing new hire track and separation of work as needed, and floating to other HR campuses as needed. Works unsupervised 50% of total time, supports New Employee Experience as scheduled, and supports system HR recognition events. Performs general office functions, screens and transfers incoming calls, and assists callers with correct information. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Maintains ID badge Center by issuing badges, ordering supplies, and requesting maintenance. Accurately updates and maintains data needed for certain audits and reports. Works closely with Security, HR Regulatory Services, Medical Staff, FH Education, and Behavior and Image Standards Committee, maintaining current employee and non-employee information to guarantee compliance. Coordinates badge projects for non-employees, i.e., students, GME, physicians, and physical environment workers. Distributes and tracks system generated badge numbers given to all HR campuses to issue for certain non-employees. Orders office supplies for campus HR and pays invoices as needed. Completes (or assists in) the hiring process by obtaining missing or incomplete documents as identified by the Recruitment Service Center. Returns all completed forms to the Recruitment Service Center to facilitate the completion of the hire. May input new hire records and applicable documents into New Hire Trak. Perform separation of work as needed. Supports certain New Employee Experience processes and exports information from orientation database for weekly reporting purposes to ensure orientation compliance. Gathers information in conformance with organizational needs. Helps develop and implement efficient workflow for badge and front desk processes. Troubleshoot all campuses badge and front desk issues (i.e., direct deposits, W-4s, Intranet access issues, name changes, and address changes), and distributes communications to ensure outstanding customer service to all HR teams. Trains and supports all campuses HR Assistants in ID Works and most front desk procedures and responsibilities. Floats to all campuses HR offices as needed. Responds to inquiries regarding policies, procedures, and programs. Identifies potential issues and grievances; routes employee or applicant to appropriate person/area and informs appropriate manager if necessary. Performs human resources administrative front desk procedures, distributes and collects employees' forms, answers incoming calls and routes to the appropriate person, and/or assists callers by giving correct information. Supports recognition events, career milestones, and retirement. Assists human resources leadership with special projects and events.

Requirements

  • Two years' work-related experience
  • Knowledge of Microsoft Office tools
  • Excellent critical thinking, problem-solving, and customer service with ability to anticipate needs
  • Ability to work independently, troubleshoot, and make sound decisions.
  • Ability to communicate with all levels of employees, medical staff, students, and agencies, as well as applicants and vendors, in writing, in person, or by phone
  • Ability to pay careful attention to details and meet timelines/deadlines.
  • High degree of discretion dealing with confidential information.
