About The Position

The HR & Payroll Officer plays a vital role in supporting the Muslim Association of Canada's (MAC) commitment to service, accountability, and integrity by ensuring accurate payroll, equitable benefits administration, and responsive HR support for their dedicated team. This role is responsible for the accurate and timely administration of payroll and employee benefits across multiple locations and provinces. This role also supports key HR functions, including recruitment, onboarding, audits, compliance, and special projects.

Requirements

  • 2–3 years of experience in payroll and HR (nonprofit experience an asset).
  • Strong knowledge of federal and provincial payroll legislation and employment standards.
  • Proficiency with ADP or similar payroll platforms and MS Excel.
  • Strong organizational, analytical, and communication skills.
  • Ability to manage sensitive data with confidentiality.
  • Interest or experience in grant writing and project coordination.
  • Commitment to MAC’s mission, vision, and values.
  • Be between 15 and 30 years of age at the start of employment
  • Be a Canadian citizen, permanent resident, or a person granted refugee protection (Note: International students are not eligible)
  • Be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation

Responsibilities

  • Process and run payroll accurately and on schedule using ADP or similar systems.
  • Coordinate with managers to ensure timely submission and approval of timecards.
  • Verify and reconcile payroll data, including deductions, overtime, and adjustments.
  • Maintain accurate employee payroll records and ensure compliance with employment standards.
  • Respond to payroll-related inquiries and resolve discrepancies promptly.
  • Prepare payroll reports and assist with audits as required.
  • Submit EHT remittances, journal entries, expense allocations, and year-end reconciliations (T4s, RL-1s).
  • Coordinate employee enrolment in group benefit plans, coverage changes, and reconciliations.
  • Serve as the primary contact for benefit questions and provider inquiries.
  • Liaise with third-party providers to ensure billing and reporting accuracy.
  • Maintain accurate and up-to-date employee information in ADP, including new hires, terminations, and status changes.
  • Assist with onboarding processes, including contract preparation and system setup.
  • Support benefits administration (Manulife, RRSP, OPTrust, etc.) and coordinate enrolment or changes.
  • Organize training sessions for managers and employees on payroll processes, benefits, and HR systems.
  • Ensure compliance with ESA and other employment standards.
  • Process Records of Employment (ROEs).
  • Provide HR and Finance teams with monthly, annual, and ad hoc reports.
  • Support HR-related projects, research, and grant applications.
  • Collaborate with management to align HR initiatives with organizational goals.
