About The Position

The HR & Payroll Coordinator provides administrative support to the Human Resources department across payroll, HRIS administration, recruitment, onboarding and offboarding, training program and personnel records management. Under the supervision, this role is responsible for ensuring all assigned tasks are completed accurately, timely, and in compliance with company policies and applicable regulations, while maintaining the integrity and confidentiality of employee data. This position reports directly to the Director of Human Resources.

Requirements

  • Must be able to perform all the essential duties of the position satisfactorily.
  • Bachelor’s or master’s degree in human resources, Business Administration, Psychology, or a related field preferred.
  • 1-3 years of experience in payroll, HR administration, or HRIS systems preferred.
  • Experience with ADP payroll and HRIS systems strongly preferred.
  • Basic knowledge of payroll processing, employee lifecycle administration, and HR compliance practices.
  • Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
  • High attention to detail and accuracy when handling payroll and employee data.
  • Ability to maintain strict confidentiality when handling sensitive employee and payroll information.
  • Strong written and verbal communication skills with the ability to interact professionally with employees, managers, and external vendors.
  • Ability to work independently while maintaining collaboration within the HR team.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Experience with ADP Workforce Now (Payroll, HRIS, and ADP Learning modules preferred).
  • Familiarity with electronic document management and e-signature platforms (e.g., Adobe Sign).
  • Experience with HRIS systems and payroll platforms.
  • Ability to perform basic spreadsheet reporting and data tracking.

Responsibilities

  • Process and review semi-monthly payroll, ensuring accuracy, and compliance with company policies and applicable federal and state regulations; submit payroll for final review and approval by Director of Human Resources.
  • Perform payroll reconciliations to Accounting Department. Generate payroll reports and supporting documentation, ensuring all payroll activities are fully completed and documented.
  • Assist in resolving payroll discrepancies and respond to employee payroll-related inquiries in a timely, professional, and thorough manner, ensuring issues are brought to resolution.
  • Maintain accurate and up-to-date employee records within the Human Resources Information System (HRIS), including compensation changes, job status updates, and other personnel actions, ensuring all updates are completed promptly and accurately.
  • Support data integrity through regular review, audit, and updates of employee information.
  • Generate standard and ad hoc HR reports and maintain system-related documentation.
  • Coordinate recruitment activities, including posting job openings and scheduling interviews, ensuring all steps in the recruitment process are completed efficiently.
  • Prepare and coordinate pre-boarding documentation for new hires and independent contractors, ensuring all required documents are completed prior to start.
  • Facilitate onboarding and offboarding processes, ensuring all documentation, system updates, and cross-departmental coordination are fully completed.
  • Support benefits administration activities, including review and processing of benefit-related invoices and documentation. (e.g., JOON), ensuring accuracy and timely completion.
  • Respond to employee inquiries related to benefits programs and escalate complex issues as appropriate, ensuring follow-through to resolution.
  • Coordinate the assignment and tracking of employee training through the learning management system (e.g., ADP Learning), ensuring all required training is assigned and monitored.
  • Monitor completion of required training programs and maintain accurate training records.
  • Establish, maintain, and audit employee personnel files to ensure accuracy, completeness, and compliance with company policies and regulatory requirements.
  • Assist in gathering and organizing documentation required for internal and external audits.
  • Ensure HR and payroll activities are performed in accordance with internal controls, company policies, and applicable regulatory requirements.
  • Assist with HR reporting, data collection, and special projects as assigned by the Director of Human Resources.
  • Provide general administrative support to the Human Resources department, ensuring tasks are completed efficiently and effectively.
  • Support Employee Engagement Committee (EEC) and General Affairs with HR-related initiatives when needed.
  • Perform other duties and responsibilities as assigned.
