About The Position

The HR Leave of Absence Specialist administers team member Family Medical and Personal leaves of absence in full compliance with federal leave laws, regulations, and company policies. Working within a Human Resources shared services model, this role serves as a centralized point of contact for multiple business units, providing accurate guidance on FMLA, personal, and military leaves while delivering exceptional service to internal clients. The specialist builds and maintains strong working relationships with team members and leadership, ensuring clear communication, timely processing of leave requests, and consistent application of policies across the enterprise.

Requirements

  • High school diploma or GED certificate.
  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
  • At least three years of experience in human resources, including direct experience with leave administration.
  • Bilingual fluency in English and Spanish.
  • Knowledge of applicable laws, regulations, rules, procedures, and administrative practices related to leave of absence and FMLA.
  • Intermediate proficiency with computers, including Microsoft Office (such as Excel), HRIS database applications, email, and Internet.
  • Experience working with HRIS systems, including platforms such as UKG.
  • Demonstrated ability to manage leave of absence processes accurately and efficiently.
  • Strong attention to detail and ability to maintain strict confidentiality.
  • Effective communication and interpersonal skills to support employee relations and internal client service.

Nice To Haves

  • Completion of specialized certification or training in FMLA or leave administration is a plus.
  • Experience working within a Human Resources shared services model or centralized service structure is beneficial.
  • Ability to interpret and apply evolving leave-related laws and regulations to internal policies and procedures.
  • Strong skills in Microsoft Excel for reporting and data analysis.
  • Ability to build collaborative relationships with team members and leadership across multiple business groups.

Responsibilities

  • Respond to team member inquiries related to benefit programs and leaves of absence in a timely, professional manner.
  • Consult with and advise team members on eligibility, provisions, and other matters related to FMLA, personal leaves, and military leaves.
  • Review and evaluate medical documentation to determine leave eligibility, using sound judgment to identify when additional documentation is required.
  • Process electronic forms associated with leaves of absence, including documentation related to terminations due to leave exhaustion.
  • Manage notification processes for team members’ leaves and communicate exhaustions of leave clearly and accurately.
  • Perform data updates in Human Resources, payroll, and benefits systems, ensuring data integrity and accuracy at all times.
  • Extract data from HR and benefits systems to prepare benefit and leave-related reports for leadership and internal stakeholders.
  • Maintain detailed and confidential records related to leave administration, safeguarding sensitive information at all times.
  • Document and update leave administration processes, forms, and policies as laws and regulations change, ensuring procedures remain current and compliant.
  • Monitor billing and payment agreements related to benefits and leaves to ensure timely team member payments, and make recommendations to management for collections in unique situations.
  • Stay informed about new trends, developments, laws, and regulations related to leave administration and apply this knowledge to improve processes and compliance.

  • Perform other related duties as assigned to support the Human Resources shared services function.
