About The Position

The HR Generalist / Payroll Coordinator performs a broad range of human resources functions while overseeing the coordination, review, and timely approval of payroll for a high-volume, hourly workforce.

Requirements

  • Three or more years of progressively responsible human resources experience.
  • Working experience performing the essential duties and responsibilities highlighted in this job description.
  • Working knowledge of federal and state employment laws and common HR practices.
  • Experience working with an HRIS, payroll system, timekeeping system, or applicant tracking system.
  • Intermediate proficiency in Microsoft Excel, including sorting, filtering, formulas, comparisons, and reconciliation of information from multiple reports.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive employee matters with professionalism, discretion, and sound judgment.
  • Strong organizational and follow-up skills, with the ability to manage multiple deadlines and competing priorities.
  • Ability to communicate effectively with field employees, supervisors, managers, applicants, payroll processors, and external service providers.
  • Ability to work independently while recognizing when an issue should be escalated.

Nice To Haves

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related field preferred. Equivalent education and relevant experience may be considered.
  • Experience with ADP, Paylocity, ABI, or comparable payroll, HR, and timekeeping systems is highly preferred.

Responsibilities

  • Support the employee life cycle, including recruiting, interviewing, and onboarding.
  • Conduct new-hire orientations and ensure that required employment documents, acknowledgments, and work authorization records are completed accurately and legibly.
  • Ensure that new hires are set up in the HRIS.
  • Maintain accurate employee records in the HR information system and personnel files such as status changes, transfers, promotions, leaves of absence, disciplinary actions, and separations.
  • Ensure compliance with federal, state, and local employment laws and company policies.
  • Maintain responsibility for meeting payroll submission and approval deadlines.
  • Coordinate the weekly payroll process for a high-volume, hourly workforce and ensure that all required steps are completed accurately and by established deadlines.
  • Ensure approved payroll adjustments, including retroactive payments, reimbursements, bonuses, deductions, corrections, and other authorized pay changes are included in the appropriate payroll run.
  • Review payroll exception reports and identify issues such as missing information, unusual hours, incorrect pay rates, duplicate entries, unapproved adjustments, or other potential discrepancies.
  • Review preliminary payroll registers and reports before providing final payroll approval.
  • Respond to employee questions regarding pay rates, deductions, direct deposit, pay statements, payroll corrections, and the status of reported payroll concerns.
  • Maintain accurate records of payroll approvals, adjustments, corrections, communications, and supporting documentation.
  • Manage the submission of employee CalSavers contributions after finalizing each payroll run.
  • Maintain strict confidentiality of employee compensation, payroll, banking, tax, and personal information.
  • Eventually serve as the primary HR contact responsible for communicating with the payroll processor and coordinating payroll-related information, adjustments, approvals, and follow-up.
