About The Position

Implementation, active participation, completion of Human Resource functions and projects. Assess and anticipate HR related needs and requirements for accurate record keeping compliance and interpretation of Human Resource policies and regulations.

Requirements

  • Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment
  • Familiarity with HRIS software, Microsoft office and other relevant software for record keeping and reporting purposes
  • Good verbal and written communication skills to convey information clearly and foster a positive relationship
  • Bachelor’s Degree or equivalent work experience

Responsibilities

  • Oversee office supply management, mail handling, catering, meeting arrangement, creation & reconciliation of department costs including vouchers and invoices.
  • Create and distribute company announcements and communications
  • General knowledge of departmental and company procedures and policies
  • Partner with HR Director and independently manage all aspects of the job leading HR functions for WG Houston and THI locations.
  • Maintain employee personnel files, current and historical, physical and electronic, full time and contract for accuracy and compliance with company and departmental policies, state & federal regulations.
  • Process HR transactions, including employee life cycle data, into the HRIS system in adherence with company policies and ensuring proper maintenance of records in support of all data changes; can include entry for new hires, terminations, transfers, promotions, equity increases, change of address, etc. in a timely manner to ensure payroll accuracy and effective management of employee data; ensure that system records are accurately recorded and cross-checked.
  • Report generation – Creation and maintenance of various reports for distribution daily, monthly, and annually: Affirmative Action Plan, EEO reporting, Organizational charts, Labor Statistics, Headcount, employee rosters, performance reviews, recall logs, employment verifications.
  • Review and recommend wages related to new hires and current employees for market, promotions and equity
  • Administer and manage the Union Collective Bargaining Agreement annual GWI increases for both the IAM and IBEW unions.
  • Ensure compliance with all federal and state labor laws, including wage and hour laws.
  • Administer and maintain the employee uniform & safety shoe program.
  • Manage employee ID process.
  • Develop, implement and offer guidance and direction to employees on company and HR procedures and policies related to both union and non-union employees
  • Verify weekly payroll interface and earnings report for both hourly and salary payrolls to ensure accuracy.
  • Maintain required state & federal employment posting boards
  • Conduct random gate and attendance audits and address accountability issues
  • Special projects or assignments as necessary
  • Collaborate with hiring managers, work to create and update and maintain job descriptions in line with organizational needs.
  • Partner with hiring managers to create, post and track Internal and external open positions.
  • Ensure hourly union staffing at WGH through activities like recall, bids, promotions, etc.
  • Schedule interviews, testing, pre-employment screenings, background, and reference checks.
  • Handle processing of job offers, promotions and salary reviews in collaboration with HR managers and hiring managers.
  • Coordinate with recruiting and staffing agencies for permanent and temporary positions
  • Coordination of relocation of future employees and collection of monies owed after termination.
  • Conduct and facilitate new hire orientation sessions to familiarize new employees with company policies, procedures and culture.
  • Manage the processing of reimbursement payments and relocation assistance for new employees as necessary
  • Conduct employee exit interviews. Collection, distribution and deactivation of company issued property.
  • Oversee the on-boarding and off-boarding processes of employees at WG Houston and THI.
  • Act as a liaison between management and union representatives for the bargaining units (IAM and IBEW)
  • Advise supervisors and management on employee relations issues, policies and procedures.
  • Offer counsel on handling personnel matters such as performance, evaluations and disciplinary actions for both union and non-union employees.
  • Interpreting and administer the collective bargaining agreements for the bargaining units (IAM & IBEW)
  • Investigate and actively participate in grievances in accordance with the collective bargaining agreements and company policies.
  • Compliance and administration of all applicable sections within the Union Collective Bargaining Agreement including annual mass updates for contract increases for both the IAM and IBEW unions.
  • Conduct investigations and interviews into workplace issues, Ethicspoints, employee complaints or concerns and offer recommendations for disciplinary action that may be required while ensuring confidentiality and privacy.
  • Respond to inquiries from employees at all levels regarding company policies, HR practices and union contracts.
  • Participate in labor contract negotiations and provide support in preparing proposals and counter proposals for the bargaining units (IAM & IBEW)
  • Participate in Monthly Union/Management meetings to discuss and address concerns or issues related to labor relations, safety and daily requirements.
  • Work closely with the union and management to build a lasting relationship that is based on trust and recognized as being fair and objective with the union committee.
  • Coordinate and manage the employee performance review program, salary planning, notification, and processing to ensure appraisals are initiated and completed in a timely manner.
  • Talent review – administer, manage and track 90-day review for salaried new hires and monthly reviews for Union employee new hires.
  • Responsible for compliance, implementation of improvements or modifications necessary to maintain compliance with all Human Resource related controls and testing for Sarbanes Oxley (SOX).
  • Conduct training sessions for management and employees on human resources and labor relations and other employee training as necessary (ie: supervisor 101 training, Harassment and other topics)
  • Work closely with the engagement committee to coordinate and host company employee engagement events
  • Plan and coordinate monthly/quarterly employee engagement events or recognition giveaways.
