About The Position

The HR Generalist II position within the Department of Psychiatry at the University of Florida is a multifaceted role responsible for a wide range of human resources functions. This includes managing recruitment processes for TEAMS positions, ensuring timely completion of employee engagement reports, and analyzing and updating position descriptions. The role also involves administering FMLA leave, processing foreign hires, managing security roles, and serving as a primary resource for HR-related inquiries for department leadership. Additionally, the position oversees payroll verification, faculty hospital credentialing and provider enrollment, and monitors DEA license renewals. The HR Generalist II will also provide backup support for faculty recruitment and onboarding, and assist with personnel appointments for various employee types. This role requires a strong understanding of employment laws, university regulations, and personnel policies and procedures, with a focus on advising management and employees.

Responsibilities

  • Prepare and submit exemption requests, PageUP postings, SPI requests, and re-classification requests for TEAMS positions.
  • Prepare and submit all paperwork for new hire TEAMS positions.
  • Track UF Engaged report to ensure timely completion by supervisors and send reminders.
  • Update, create, and analyze position descriptions, compiling and coordinating required information.
  • Review compensation matrix and submit recommendations for reclassification and promotional compensation.
  • Draft cover memos and submit final position descriptions through People Soft for approval.
  • Monitor and track FMLA leave usage for departmental TEAMS personnel, answer questions, distribute forms, and ensure timely submission.
  • Input FMLA Leave of Absences into People Soft, record leave in the payroll system, and maintain records.
  • Process return from FMLA Leave of Absences by completing and submitting appropriate paperwork and inputting into People Soft.
  • Prepare all TEAMS foreign hires and paperwork with the Immigration Office.
  • Prepare all paperwork for TEAMS special pay increases, FTE changes, raises/promotions, and terminations.
  • Serve as the Primary Department Security Administrator (DSA) for TEAMS, ensuring appropriate assignment and deletion of security roles.
  • Act as the primary resource for the department Director and Assistant Director for all TEAMS-related questions and job tasks.
  • Advise managers and provide guidance to employees on employment laws, university regulations, and personnel policies and procedures.
  • Make recommendations to management regarding staffing, recruitment, and employee relations.
  • Prepare and submit all paperwork for new extenders.
  • Verify preliminary and final pay lists to ensure all TEAMS employees are paid.
  • Communicate the department’s payroll deadline to ensure completion prior to the UF Payroll deadline.
  • Troubleshoot payroll entry problems and manage payroll exceptions by notifying employees and instructing on corrections.
  • Approve specified employees’ payroll and serve as back-up payroll approver for the Department.
  • Act as Verifier of the Pay List to ensure correctness for all TEAMS employees.
  • Serve as the Department liaison for hospital credentialing issues for the Department of Psychiatry.
  • Initiate the credentialing of all new physician faculty by obtaining appropriate forms for clinical privileges at Shands Hospital at Gainesville, Shands Psychiatric Hospital, and Shands at Jacksonville.
  • Work with the Shands Credentialing office to ensure new incoming faculty and licensed staff complete requests for privileges in a timely manner.
  • Ensure the renewal of hospital privileges is accomplished bi-annually for all faculty.
  • Ensure all FPPE and OPPE are completed in a timely manner, signed by the Department Chair, and returned to the Shands Credentialing office.
  • Serve as the Department liaison for provider enrollment issues for clinical faculty in the Department of Psychiatry.
  • Initiate the provider enrollment process by securing appropriate forms for new faculty and submitting with required documentation to the Provider Enrollment correctness Office.
  • Track provider enrollment to completion to ensure provider numbers are assigned and maintain files.
  • Review Department of Psychiatry Self Insurance Program status.
  • Monitor and follow up with employees on DEA license renewal.
  • Run reports and track active licenses and communicate renewal dates, statuses, and deadlines to employees.
  • May serve as backup for Faculty recruitment, including preparing offer letters, hiring paperwork, and onboarding.
  • Provide backup for Courtesy Faculty Appointments, obtaining required information, assigning UF ID numbers, ensuring completion of HIPAA and Confidentiality statements, composing letters, and preparing paperwork for submission.
  • Serve as backup Department Security Administrator (DSA) for Faculty, ensuring appropriate assignment and deletion of security roles.
  • Provide information resource for leave issues for all departmental personnel.
  • Assist Human Resources Generalist I with personnel appointments for Student Assistants, OPS employees, Non-Clinical Post-Doctoral Associates, and student volunteer appointment requests.
  • Perform miscellaneous duties as requested by HR Generalist III, Director, and Assistant Director.
