About The Position

The Human Resources Coordinator provides essential support across the full recruitment cycle, ensures accurate and timely onboarding, and delivers reliable backup assistance for payroll administration. This role is suited for a detail‑oriented professional who thrives in a collaborative environment and is committed to maintaining high standards of accuracy, confidentiality, and compliance.

Requirements

  • Post‑secondary education in Human Resources, Business Administration, or a related field.
  • 1 - 3 years of HR experience, with a strong focus on recruitment and exposure to payroll processes.
  • Experience with HRIS platforms (e.g., Rippling), ATS modules, and payroll systems.
  • Strong organizational skills, attention to detail, and ability to manage competing priorities.
  • Excellent communication skills and a commitment to confidentiality and professional conduct.
  • Ability to build collaborative relationships across departments and maintain composure during sensitive conversations.
  • Working knowledge of Saskatchewan Employment Standards, WCB processes, and HR best practices.
  • Cleared Criminal Record and Vulnerable Sector Check, completed three (3) months prior to start date.

Responsibilities

  • Manage end‑to‑end candidate flow within the ATS, ensuring data accuracy, timely progression, and consistent communication.
  • Draft, post, and monitor job advertisements across internal and external platforms.
  • Prepare and issue offer letters, employment agreements, and related onboarding documentation.
  • Maintain recruitment records to ensure audit readiness and compliance with organizational requirements.
  • Facilitate onboarding activities, including certificate verification, worker permit tracking, and printing employee ID cards.
  • Maintain training, onboarding, and funder‑required certification records, including monitoring expiry dates and coordinating renewals.
  • Support updates to the Employee Handbook, HR policies, and related documents.
  • Maintain job description catalogues, vacancy records, and staffing documentation.
  • Track employee restrictions, limitations, and accommodation plans, ensuring documentation is current and accessible.
  • Assist with WCB claim coordination, including documentation, follow‑up, and communication with internal stakeholders.
  • Provide administrative and coordination support for HR meetings, including HR Huddle, Probationary Reviews, OH&S Committee, and EDI Committee.
  • Assist with grievance case management by organizing documentation, preparing case files, and attending meetings.
  • Draft meeting notes, track follow‑up actions, and support research related to collective agreement interpretation.
  • Maintain confidentiality and professionalism when handling sensitive labour relations matters.
  • Process new hires and terminations within payroll systems, ensuring accurate setup and offboarding.
  • Assist with pay changes, retroactive adjustments, and corrections.
  • Provide backup support for bi‑weekly payroll processing, including timesheet validation, coding checks, and anomaly review.
  • Maintain accuracy and timeliness in all payroll‑related tasks.
