About The Position

We are seeking a highly organized, systems-driven, and service-oriented Human Resources & Administrative Coordinator to support the daily operations of both our Human Resources function and our broader administrative needs across the organization. This role serves as the operational backbone of HR while also providing critical administrative support that helps keep the business running efficiently. The ideal candidate enjoys creating order, improving systems, managing details, and supporting multiple departments through organization and proactive coordination. This is primarily a support and execution role rather than a decision-making position. You will own documentation, systems, scheduling, communication, and process coordination while leadership and managers retain responsibility for employee decisions, approvals, and policy enforcement. This position is ideal for someone who thrives in a dynamic environment where no two days are exactly alike and where helping others succeed is a key part of the job.

Requirements

  • 3-5+ years of experience in HR administration, operations, or similar role
  • Proven Expereince of managing an HR filing system for compliance and confidence
  • Strong experience with HR systems; BambooHR or similar preferred
  • Advanced proficiency in Google Workspace (Sheets, Forms, Drive required)
  • Experience with automation tools or Google Apps Script strongly preferred
  • Exceptional attention to detail and organizational skills
  • Ability to manage confidential information with discretion
  • Strong written and verbal communication skills
  • Self-starter comfortable working independently in a solo role

Responsibilities

  • Maintain and audit employee records to ensure accuracy, completeness, and compliance
  • Own all HR filing systems (digital and physical), with a strong focus on organization and audit readiness
  • Process and document payroll changes and records (no approval authority)
  • Track compliance requirements, documentation, and deadlines
  • Manage and maintain HRIS, including employee data and workflows (experience with BambooHR strongly preferred)
  • Build and maintain systems within Google Workspace (Drive, Forms, Sheets)
  • Create and improve automated workflows, notifications, and reporting (Google Apps Script experience highly valued)
  • Provide administrative support to leadership and various departments as business needs require.
  • Assist with document creation, formatting, recordkeeping, data entry, and reporting projects.
  • Help coordinate internal meetings, schedules, and company communications.
  • Maintain office forms, templates, and shared documentation systems.
  • Support vendor communication, office supply management, and general office organization.
  • Assist with special projects and cross-functional initiatives that improve organizational effectiveness.
  • Act as the coordination point between employees, managers, and leadership for HR processes
  • Support and track performance review cycles across the organization
  • Assist with internal communication related to HR processes and timelines
  • Coordinate onboarding and offboarding processes
  • Assist with job postings, interview scheduling, and candidate communication
  • Ensure all employee documentation is completed and properly filed
  • Serve as a support resource for employees only after they have followed the standard chain of command (lead → supervisor → manager → COO)
  • Participate as a neutral witness in employee conversations when requested by management
  • Provide administrative support in urgent situations if a manager is unavailable
  • Assist/Manage planning and coordination of company events and internal initiatives
  • Support ongoing improvements to HR processes and documentation
  • Fill in for break area/foyer tidiness, offered refreshments, and greeting guests when the receptionist is unavailable.
