About The Position

Dependable Health Services is seeking a highly organized, dependable, and detail-oriented HR Compliance & Benefits Assistant to join our Human Resources team at our corporate office in the Williams Center in Tucson. This is an excellent opportunity for someone who enjoys working with details, maintaining accurate records, and supporting employees behind the scenes. We're looking for someone who takes confidentiality seriously, is consistently punctual and dependable, and is proficient in Microsoft Excel and Word. This position has the opportunity to grow within our HR department. Requirements

  • Proficient in Microsoft Excel and Microsoft Word
  • Strong attention to detail and accuracy
  • Excellent organizational and time-management skills
  • Ability to maintain strict confidentiality regarding employee and company information
  • Consistent attendance and punctuality
  • Comfortable working with spreadsheets, reports, electronic files, and databases
  • Ability to identify discrepancies and follow through until they are resolved
  • Strong written and verbal communication skills
  • Comfortable making telephone calls to complete employment reference checks
  • Ability to prioritize multiple responsibilities and meet deadlines
  • Willingness to learn and take on additional responsibilities

Nice To Haves

  • Previous HR, benefits, payroll, compliance, healthcare, or administrative experience
  • Experience maintaining confidential employee records
  • Experience with Employee Navigator or similar benefits administration software
  • Experience reconciling benefits, payroll deductions, or invoices
  • Familiarity with healthcare employee compliance requirements is a plus

Responsibilities

  • Maintain accurate, organized, and confidential employee personnel files
  • Periodically audit employee files to ensure they meet company and regulatory compliance requirements
  • Monitor required employee documentation and expiration dates
  • Obtain updated documentation before expiration, including annual Central Registry requirements, TB risk assessments, and other required credentials
  • Run and review compliance reports using company software
  • Identify upcoming expirations and missing documentation
  • Follow up to ensure required documents are received and updated promptly
  • Maintain accurate electronic employee records
  • Conduct telephone reference checks for new employees
  • Obtain and document the required three references for each applicable new hire
  • Ensure completed reference documentation is properly maintained in employee files
  • Scan terminated employee files into the company's electronic database
  • Ensure documents are accurately labeled, organized, and stored
  • Handle employee information with a high level of confidentiality and discretion
  • Assist the Benefits Coordinator with monthly benefits reconciliation
  • Compare benefit enrollment information in Employee Navigator against payroll records
  • Verify that employee payroll deductions are accurate
  • Identify discrepancies and assist with correcting benefit or payroll deduction issues
  • Reconcile benefit enrollment and deduction information against monthly insurance invoices
  • Assist with reconciliation for: Health insurance, Long-term disability, Short-term disability, Life insurance, Other voluntary employee benefits
  • Assist the HR team with special projects
  • Provide administrative support as needed
  • Take on additional HR responsibilities as knowledge and experience grow
  • Perform other duties as assigned
