About The Position

The HR and Technology Administrator provides administrative and coordination support to the Human Resources and IT teams and helps ensure day-to-day processes run smoothly and efficiently. Dual responsibilities include coordinating interview schedules and candidate communications, administering pre-employment assessments, maintaining accurate candidate information within the HRIS, supporting recruiting processes, and assisting with other HR programs and administrative needs. This role also supports the IT team and helps maintain organized asset and license records, calendar scheduling, associate documentation while handling confidential information with professionalism and discretion. The ideal candidate is looking for a stable, long-term role in HR administration and is organized, detail-oriented, responsive, and able to manage multiple priorities in a fast-paced environment.

Requirements

  • High School diploma or equivalent required; associate or bachelor's degree in human resources, Business or a related field a plus.
  • 1-3 years of HR administrative experience required
  • Working knowledge of HR functions and systems; familiarity with IT asset or license tracking a plus.
  • Excellent organizational and time-management skills with strong attention to detail and accuracy
  • Proficiency with Microsoft Office and HRIS/applicant tracking systems
  • Effective written, verbal, and interpersonal communication skills
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Ability to manage multiple priorities in a fast-paced environment

Responsibilities

  • Support recruiting efforts, including applicant tracking, interview scheduling, pre-employment assessments, career fairs, and identifying recruiting opportunities through university and professional connections.
  • Coordinate new-hire communications and all administrative and logistical aspects of onboarding across Caldwell Companies and its affiliated entities including first-day details, orientation, equipment set-up, device assignment, and other onboarding needs.
  • Coordinate offboarding logistics across both business units, including equipment returns and updates to asset and personnel records.
  • Support the Director of Recruiting with onboarding initiatives, professional development opportunities, social events, communications, and assist with overall program coordination.
  • Help manage the associate anniversary and recognition program, including tracking associate eligibility and milestones, coordinating award schedules and administration.
  • Maintain accurate and confidential associate records and personnel files within the HRIS.
  • Serve as a resource for associate HR inquiries and coordinate with the appropriate HR team member as needed.
  • Create and distribute HR communications and materials, including new hire announcements, internal communications, newsletter content, and HR-related graphics.
  • Support other HR projects, programs, and initiatives as needed.
  • Manage the IT department calendar, coordinate vendor visits and meeting logistics.
  • Maintain accurate records of IT hardware, software, and other company assets.
  • Maintain warranty records and identify devices nearing the end of coverage or requiring replacement.
  • Track software subscriptions, seat counts, and renewal dates.
  • Maintain vendor contract records and key dates.
  • Process and reconcile invoices.
