About The Position

Play an integral role in supporting the people, processes, and administrative activities that keep large project and craft workforces operating efficiently. As an HR Administrator - Craft Operations (Off-Site), you will serve as a key employee-services resource, supporting current and former employees while helping ensure onboarding, personnel transactions, employee records, compliance activities, and workforce administration processes are handled accurately, confidentially, and efficiently. This role plays an important part in the employee experience by serving as a trusted point of contact for employee inquiries, onboarding support, personnel transactions, employment verification requests, unemployment claims, requisitions, and other People Operations activities. Your attention to detail, customer service mindset, and commitment to accuracy will directly support workforce readiness, employee satisfaction, operational efficiency, and compliance with company requirements. While this position is primarily office-based, it supports project, operational, and construction organizations across a dynamic project-based workforce environment. Purpose of the role The HR Administrator - Craft Operations (Off-Site) is responsible for providing administrative and employee-services support to current and former employees while supporting a wide range of workforce administration, onboarding, records management, compliance, and employee transaction activities. Working closely with employees, project leadership, Talent Acquisition, Payroll, Benefits, People Operations, and other support functions, you will coordinate employee transactions and workforce administration activities while ensuring all information is handled accurately, professionally, and confidentially. This role serves as a critical link between employees and internal support organizations and helps ensure employee-service requests are addressed effectively while maintaining compliance with company policies, recordkeeping requirements, and applicable regulations.

Requirements

Strong administrative capability, attention to detail, employee-service experience, and the ability to manage confidential workforce information in a fast-paced environment.
Previous administrative, People Operations, Human Resources, employee services, onboarding, records management, or project support experience.
Experience handling confidential or sensitive employee information while maintaining accuracy and discretion.
Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
Strong organizational skills with the ability to manage multiple requests, deadlines, and transactions simultaneously.
Effective written and verbal communication skills.
Ability to work collaboratively with employees, project leadership, Talent Acquisition, Payroll, Benefits, and other support functions.
Strong attention to detail and commitment to maintaining accurate records.
Customer-service orientation with the ability to deliver responsive and professional support.

Nice To Haves

Associate or bachelor's degree in Human Resources, Business Administration, or a related discipline.
Human Resources, People Operations, or workforce administration experience within construction, maintenance, turnaround, manufacturing, industrial, or project-based environments.
Experience supporting direct-hire craft employees, former employees, or project-based workforces.
Experience with applicant tracking systems, onboarding platforms, work authorization systems, payroll self-service tools, case-management systems, and electronic document management systems.
Professional written and verbal communication skills in both English and Spanish.
Working knowledge of Taleo, HireRight, ADP, Service Desk platforms, SharePoint, PeopleLink, or similar workforce administration systems.
Experience supporting onboarding, requisition management, unemployment claims, employee transfers, and workforce compliance activities.

Responsibilities

Serving as a primary administrative point of contact for current and former employees and responding to routine employee-service inquiries.
Processing Electrical Hours Requests and preparing Electrical License Reports.
Managing employment verification requests and supporting employee requests related to benefits, Medicaid forms, and employment documentation.
Managing Service Desk requests, tracking open tickets, coordinating follow-up activities, and communicating resolution status to employees and stakeholders.
Supporting employee inquiries related to payroll processes, including W-2 questions and reprint requests in collaboration with Payroll teams.
Delivering responsive, professional, and customer-focused support to employees and project teams.
Supporting new-hire onboarding activities and assisting employees throughout the onboarding process.
Monitoring onboarding completion status and coordinating follow-up on outstanding requirements.
Assisting candidates, new hires, and rehires with Taleo password resets and onboarding-related access requests.
Processing Form I-9 documentation and employment authorization verification through HireRight.
Conducting work authorization audits and identifying incomplete, inconsistent, or missing records for resolution.
Assisting employees with ADP password resets and directing more complex system issues to appropriate support teams.
Supporting compliance with work authorization and employment eligibility requirements.
Maintaining and updating employee records, including address changes, contact information updates, and other personnel data.
Coordinating employee transfers and supporting project-related workforce movements.
Processing employee rate changes and maintaining appropriate supporting documentation.
Reviewing personnel transactions for completeness, accuracy, and compliance prior to processing.
Maintaining confidential employee records in accordance with company policies and record retention requirements.
Supporting workforce data integrity through auditing, verification, and reconciliation activities.
Creating and managing requisitions while coordinating updates with Talent Acquisition and project stakeholders.
Monitoring requisition status and supporting recruiting and workforce planning activities.
Managing unemployment claims and providing required employment information and supporting documentation.
Processing employee separations and coordinating activities with People Operations, Payroll, project leadership, and support teams.
Maintaining complete and accurate documentation related to requisitions, unemployment claims, employee separations, and workforce transactions.
Maintaining employee records and personnel documentation in a manner that supports audit readiness and compliance requirements.
Performing data entry, document uploads, reconciliation activities, audits, filing, tracking, and reporting duties.
Protecting personal, employment, payroll, and confidential employee information.
Ensuring compliance with applicable policies, procedures, record-retention requirements, data privacy standards, and work authorization requirements.
Escalating exceptions, discrepancies, compliance concerns, or complex requests to the appropriate support teams.
Supporting reporting and workforce data requests as required.
Contributing to process improvement initiatives that enhance efficiency, accuracy, compliance, and employee service delivery.
Performing other duties appropriate to the scope and level of the role.
