Provides administrative support to the HR Department and carries out specific HR functions as assigned. This role serves as the primary customer service interface for the HR Department, managing calls, coordinating meetings, performing administrative duties, copying, filing, data entry, handling mail, and disseminating communication materials. The position also involves coordinating employee training, maintaining training logs and HRIS data, assisting with audits (SOX, AS9100), managing employee files, maintaining HR communication boards, and backing up the receptionist. Additionally, it supports the administration of the attendance policy, maintains the integrity of the HRIS system through data entry and audit reports, and projects a professional company image. Key responsibilities include coordinating pre-employment activities (background checks, physical screenings, reference checks), ensuring compliance and accuracy of I-9, ITAR, and similar programs, creating and tracking offer letters, verifying employment, and conducting new hire orientations. The role also involves preparing for All Hands meetings, retirement gifts, employee events, and lunches, coordinating Health & Wellness initiatives and benefits enrollment, and managing clinic coordination for injuries/illness or annual testing. The HR Administrative Assistant administers employee programs, handles hazardous waste management in their work area, and performs other duties as assigned, including leading projects and participating in committees.
