About The Position

The Legal Aid Society’s Civil Practice is seeking a Housing Coordinator to join the Housing Unit in the Queens Neighborhood Office. This role reports to the Housing Director and Housing Data Manager. The Housing Coordinator will collaborate with Housing/Housing Benefits Supervising Attorneys, Borough Administrators and their teams, casehandlers, and the Civil Grants & Contracts Team to ensure quality assurance for all housing and related benefits cases in the borough. Additionally, the Housing Coordinator will work with the Housing Director, Housing Data Manager, Housing/Housing Benefits Supervising Attorneys, Grants & Contracts, and the Office Management team to establish efficient systems for data collection and updates.

Requirements

  • Bachelor’s degree or an equivalent combination of 4+ years of post-secondary education and/or work experience.
  • Ability to work in a team setting including strong communication and follow-up skills.
  • Demonstrated ability to consistently meet deadlines in a high-pressured work environment.
  • Demonstrated ability to pay attention to detail.
  • Ability to manage relationships and effectively communicate with Office management team; case handlers; and Civil G&C team.
  • Highly self-motivated and able to work independently.
  • Demonstrated ability to accurately and quickly gather data, compile information, and keep accurate records.
  • Demonstrated track record of organizational skills.
  • Excellent computer skills including Office 365 and all Microsoft Office programs, especially Microsoft Excel (pivot tables, etc.), and demonstrated ability to work with databases.

  • May or will require travel within NYC, across the five-borough region.
  • All applicants must be legally authorized to work in the United States for any employer without sponsorship for a work visa or permit. We are currently unable to sponsor employment visas or permits. (However, for citizens of Canada and Mexico, LAS will provide a letter documenting employment status that is needed to obtain a TN visa.)

Responsibilities

  • Oversee and ensure collection of data for grants/contracts.
  • With Office Management team, ensure that all cases, including associated benefits cases, are entered within one week of intake.
  • Periodically update the housing team on any changes or updates in data collection required for housing grants.
  • Work with casehandlers to ensure that all cases are timely updated with data required for grants management including accurate service levels, completed forms, and other information needed to establish eligibility and outcomes; and are timely marked as ready for closing in the case management system.
  • Work with casehandlers to upload all documents needed for programmatic audits in the case management system within one week of intake and before case closing.
  • Responsible for overall quality assurance in the case management system including cross-refencing LAS data with OCA data and NYSCEF (New York State Court Electronic Filing System); finding any duplicate cases or clients; ensuring that all cases where case work is complete have been closed, etc.
  • Once casework is completed, coordinate with the Office Management team to ensure cases are timely closed and archived.
  • Follow up with and/or interview clients to obtain information needed to properly enter and/or update cases.
  • Utilize Microsoft 365 and its apps (Microsoft Forms, etc.,) as useful tools for creating or innovating efficient data-tracking systems.
  • Learn and utilize new technologies and systems as appropriate to manage cases and data.
  • Provide input into performance evaluations of staff.
  • Participate in continuous professional development.
  • Continuously learn about forms of bias in the workplace and demonstrate affirmative behaviors that support an inclusive work environment.
