The Housing Acquisition Associate will work closely with the Vice President and Housing Acquisition teams to ensure the smooth, well-organized operation of day-to-day activities. This role demands someone who is exceptionally detail-oriented and meticulous — someone who notices what others miss, keeps systems running without gaps, and takes pride in flawless follow-through. The Associate will handle everything from calendar management to project coordination and must be able to hold many moving pieces simultaneously without losing precision on any of them.

Requirements

  • 2+ years of experience in an administrative or coordination role, preferably in housing or human services.
  • Exceptional attention to detail — this is the single most important quality for this role. You catch errors others miss, keep records spotless, and follow through completely on every commitment.
  • Outstanding organizational and record-keeping abilities, with demonstrated skill managing multiple priorities simultaneously without losing accuracy on any of them.
  • Strong verbal and written communication skills, including the ability to draft polished correspondence and create presentations in multiple formats.
  • Proactive and self-directed. You anticipate what's needed before being asked and take initiative to close gaps.
  • Flexible and nimble, with a genuine willingness to assist with administrative tasks and projects at the VP's request.
  • Ability to handle highly sensitive and confidential information with the utmost professionalism and discretion.
  • Passion for the mission of Anthos|Home and the ability to work effectively in a diverse environment.
  • Proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Proficiency with technology tools and comfort learning new platforms quickly.
  • Familiarity with Salesforce or comparable CRM/database systems.

Responsibilities

  • Oversee and manage the VP of Housing Acquisition's calendar with exacting attention to scheduling priorities, conflicts, and lead times, ensuring not a single commitment falls through the cracks.
  • Schedule and organize department-wide meetings, supporting meticulous internal coordination between teams.
  • Prepare thorough, well-structured meeting agendas on behalf of the VP, ensuring every item reflects current priorities and objectives.
  • Attend meetings as needed, capturing detailed and accurate notes or minutes that enable clear follow-up and accountability; maintain organized, up-to-date records of all projects and tasks.
  • Collaborate closely with the VP to identify priorities and ensure her time is strategically and efficiently allocated, surfacing conflicts or gaps before they become problems.
  • Act as a reliable thought partner, anticipating needs and flagging potential issues proactively.
  • Serve as a liaison for the VP, communicating departmental policy and procedural updates to Housing Supervisors with clarity and precision.
  • Draft and coordinate internal and external communications on behalf of the VP, ensuring every message reflects accuracy, appropriate tone, and organizational voice.
  • Work collaboratively across departments to support cross-functional initiatives and improve operational effectiveness.
  • Handle all sensitive and confidential information with the utmost discretion, maintaining trust as a cornerstone of this role.
  • Generate and run departmental reports, synthesizing data into concise, accurate summaries for the VP's review and decision-making.
  • Maintain meticulous Salesforce records, including up-to-date contacts from the VP's interactions; conduct outreach to external partners as needed with careful documentation of all correspondence.
  • In collaboration with other staff, identify and facilitate internal and external meetings needed to advance the VP's priorities.
  • Establish and rigorously maintain processes to ensure every meeting is efficient and produces clear, actionable outcomes.
  • Diligently track and follow up on all action items until completion.
  • Ensure the VP is thoroughly prepared for all events with comprehensive briefing materials and prepared remarks with no detail left unaddressed.
  • Manage event logistics on behalf of the VP with precision and foresight.
  • Oversee the end-of-year gift process for property providers, including budgeting, curating gift selections, compiling and verifying recipient lists, and managing end-to-end execution.
  • Perform other duties as assigned.
