About The Position

Based in Ventura, CA, this is a part-time Household Manager & Family Assistant role supporting a warm, outdoorsy, and active family with a seven-year-old son. The parents work full-time from home and have demanding schedules with frequent travel. The family is seeking a long-term house manager who is thoughtful, highly organized, and proactive in creating and maintaining systems to lighten their mental load and create a calm, organized, and functional home. The ideal candidate is a self-directed professional with project management instincts, excellent time management, and the ability to assess needs and act proactively. They should be tech-savvy, comfortable with administrative tasks, discreet, and able to work independently while maintaining professional boundaries. The role involves household organization, administrative support, errands, meal prep, vendor oversight, laundry, vehicle upkeep, and occasional family support. The family emphasizes a calm, organized, and functional home environment, running like a well-oiled machine. They value well-being and spending quality family time outdoors. The candidate should be comfortable working in a family home alongside other caregivers and possess a "let's get it done" attitude with strong communication skills. They should be proactive in identifying and addressing household needs without being asked, such as restocking supplies, organizing mail, and managing subscriptions. The role requires a high level of detail-orientation and precision in both administrative and hands-on tasks.

Responsibilities

  • Create, maintain, and reset household organization systems throughout the home.
  • Perform daily resets and prepare the home ahead of Monday cleaners.
  • Light tidying, including dishes, surfaces, and vacuuming high-traffic areas.
  • Execute seasonal swaps for clothing, bedding, and decor.
  • Provide indoor plant care.
  • Proactively change batteries, light bulbs, and smoke detectors.
  • Assist with packing and unpacking for frequent travel.
  • Prepare for events and guests, including holiday hosting.
  • Support updating the household calendar and family schedule.
  • Coordinate various appointments for household members.
  • Provide administrative support for the son's medical care, including scanning and organizing documents, following up with providers and insurance companies, and processing medical mail and voicemails.
  • Offer light travel logistics support as needed.
  • Consistently restock pantry, fridge, and household supplies.
  • Manage household supply lists and oversee Amazon, Costco, and Target subscriptions.
  • Handle mail and packages, including breaking down boxes.
  • Manage returns, dry cleaning drop-off and pickup, and gift shopping.
  • Run occasional kid-related errands as needed.
  • Organize the garage and storage unit, sorting items for donation, sale, or disposal.
  • Coordinate and execute donation drop-offs.
  • Manage the resale of items.
  • Refresh and organize specific areas such as the entryway, garage, fridge, medicine cabinet, linen closet, mobility equipment, and child’s clothing.
  • Batch prep healthy, protein-forward meals 1-2 times per week for grab-and-go use.
  • Prepare easy breakfasts like smoothies, overnight oats, egg bites, and protein muffins.
  • Perform grocery shopping to supplement supplies handled by the au pair.
  • Maintain kitchen cleanup and organization.
  • Oversee and coordinate with cleaners, contractors, landscapers, and pool vendors.
  • Research and coordinate repair quotes and vendor scheduling.
  • Manage and reset outdoor spaces, including patio furniture and cushions.
  • Keep the laundry area tidy and well-organized.
  • Wash and cycle pool towels and household dishtowels as needed.
  • Schedule routine maintenance and car washes for family vehicles.
  • Fuel and organize family vehicles.
  • Track registration and insurance documentation for family vehicles.
  • Serve as a backup adult in the home during occasional periods when both parents are traveling simultaneously.
  • Provide occasional pickup or drop-off support for the family's son as gap coverage.
