About The Position

We are a warm, outdoorsy, and active household in Ventura, CA, with a seven-year-old son, a cat, and two parents who work full-time from home. Our son has special needs and is supported by caregivers, including a live-in au pair. Our household is busy with work calls, appointments, deliveries, and daily management. We are seeking a long-term, highly organized, and proactive House Manager to create and maintain systems that lighten our mental load, allowing us to focus on family well-being and activities. The ideal candidate is thoughtful, organized, and proactive, with project management instincts and excellent time management skills. They should be comfortable assessing situations, using good judgment, and independently managing tasks. The role requires a "let's get it done" attitude, radical transparency, helpful suggestions for streamlining operations, and a keen eye for detail. Warmth, professionalism, discretion, and the ability to work independently alongside other caregivers are essential. Strong administrative and tech skills are also required, with a genuine enjoyment of administrative tasks and a precise approach to all duties.

Responsibilities

  • Create, maintain, and reset household organization systems.
  • Perform daily resets and prepare the home for cleaners.
  • Conduct light tidying, including dishes, surfaces, and vacuuming high-traffic areas.
  • Manage seasonal swaps for clothing, bedding, and decor.
  • Perform indoor plant care.
  • Proactively change batteries, light bulbs, and smoke detectors.
  • Provide packing and unpacking support for frequent travel.
  • Assist with event and guest preparation, including holiday hosting.
  • Support updating the household calendar and family schedule.
  • Coordinate various appointments for household members.
  • Provide administrative support for the son's medical care, including scanning and organizing documents, following up with providers and insurance companies, and processing medical mail and voicemails.
  • Offer light travel logistics support as needed.
  • Consistently restock pantry, fridge, and household supplies.
  • Manage household supply lists and oversee subscription services (Amazon, Costco, Target).
  • Handle mail and package processing, including breaking down boxes.
  • Manage returns, dry cleaning drop-off and pickup, and gift shopping.
  • Complete occasional kid-related errands.
  • Undertake ongoing garage and storage unit organization, including sorting items for donation, sale, or disposal.
  • Coordinate and execute donation drop-offs.
  • Manage the resale of items.
  • Refresh and organize specific areas such as the entryway, garage, fridge, medicine cabinet, linen closet, mobility equipment, and child’s clothing.
  • Batch prep healthy, protein-forward meals 1-2 times per week for grab-and-go use.
  • Prepare easy breakfasts like smoothies, overnight oats, egg bites, and protein muffins.
  • Perform grocery shopping to supplement existing provisions.
  • Maintain kitchen cleanup and organization.
  • Follow family's dietary preferences (healthy, whole foods, protein-forward).
  • Oversee and coordinate with cleaners, contractors, landscapers, and pool vendors.
  • Research and coordinate repair quotes and vendor scheduling.
  • Manage and reset outdoor spaces, including patio furniture, cushions, and seasonal refreshes.
  • Keep the laundry area tidy and well-organized.
  • Wash and cycle pool towels and household dishtowels.
  • Schedule routine maintenance and car washes for family vehicles.
  • Fuel and organize family vehicles.
  • Track registration and insurance documentation for vehicles.
  • Serve as backup adult in the home when both parents are traveling simultaneously (occasional gap coverage).
  • Provide occasional pickup or drop-off support for the family's son (gap coverage).
