About The Position

The Hotel Operations Coordinator is responsible for performing administrative duties and supporting the Sr. VP, Hotel Operations and Director, Hotel Operations. This role involves interaction with Crystal Cruises vendors, contractors, and various internal departments, requiring strict confidentiality. The coordinator will gather and organize data for decision-making, attend meetings to take minutes, and manage records for travel requests. They will maintain priority lists, assist in securing rooms for immigration officials and pilots, and ensure bookings and travel documents are distributed. The role also includes managing the EmbarkDebark inbox for various requests, acting as a liaison between Hotel and Marketing for printed materials and website updates, and inserting/updating dress codes in OneIS. Additionally, the coordinator will collect contractor data for ship dry docks, support the Hotel Operations department with projects, and adhere to company policies and procedures. Requirements

  • Strong verbal communication skills including professional telephone etiquette.
  • Strong customer service skills.
  • Ability to answer calls in a timely and professional manner and deliver high-quality service.
  • Responsible for maintaining thorough knowledge of product, policies, and procedures.
  • Must be fluent in written and spoken English.
  • Must have good administrative skills (proficient in Outlook, MS Office).
  • Needs to have an outgoing personality and must possess a positive attitude, always maintaining a friendly and approachable demeanor.
  • Proficient in Excel and Powerpoint.

Nice To Haves

  • College Degree/Diploma or Hotel or Tourism School is preferred.
  • Experience in Cruise industry is desired.

Responsibilities

  • Gathering, organizing, and maintaining data to assist Sr. VP, Hotel Operations in making key decisions.
  • Attending meetings when required and taking meeting minutes.
  • Collecting and maintaining records for travel requests received from vendors, contractors, and Hotel Corporate employees.
  • Maintaining all Priority list files in OneIS and updating both ships on a weekly basis.
  • Assisting ships and Port Operations department in securing rooms for Immigration officials for enroute clearance and Pilots.
  • Ensuring that bookings are created in OneIS and all travel documents are distributed to all relevant parties.
  • Managing EmbarkDebark inbox and handling all requests related but not limited to: early embarkation, disembarkation, providing port addressed and embarkation formalities.
  • Acting as a liaison between Hotel and Marketing by managing requests for Printed Materials, website updates on Monday.com.
  • Inserting/updating dress code in OneIS for full itinerary one year in advance for both ships.
  • Collecting necessary data (contractors list, immigration information etc) from vendors for contractors during ship’s Dry Dock.
  • Supporting Hotel Operations department with various projects.
  • Following company’s Policies and procedures.
