About The Position

Provides clerical support to the Single-Family Team by performing various duties related to the processing and administration of the Single Family Down Payment and/or Closing Cost Assistance Program. This role involves maintaining knowledge of regulations, preparing marketing materials, providing customer service, managing program-related software, monitoring emails, responding to inquiries, ensuring document accuracy, and updating website information.

Requirements

  • High school diploma or general education degree (GED).
  • Six months to one-year related experience and/or training preferred, or equivalent combination of education and experience.
  • Ability to communicate with all people in a calm and patient manner.
  • Ability to give a positive and professional image of the Agency.
  • Knowledge of correct grammar usage, spelling, punctuation, and required formats.
  • Computer literacy, including personal computing, accuracy in data entry, knowledge of program-related software, Word, Excel, and Outlook.
  • Personal management skills, including time management, interpersonal skills, integrity, and ethics.
  • Knowledge of modern office practices and procedures.
  • Pass a drug-screening test and criminal background check as a condition of employment.

Responsibilities

  • Maintain knowledge of all regulations, policy, and procedures for the daily processing and administration of the Single Family Down Payment and/or Closing Cost Assistance Program.
  • Prepare and maintain marketing materials for in-house and external training for partners, lenders, realtors, agencies, and the public.
  • Deliver exceptional customer service to all external and internal customers.
  • Provide basic information to participants and others regarding loan application process, program requirements, and general knowledge via telephone and email.
  • Maintain secure access to program-related software and ensure all security concerns regarding software, ID requests, access, and passwords are followed.
  • Daily monitor a shared mailbox, process emails, name emails, log review, conditions, and closing documents, and notify staff of document receipt.
  • Respond to general and participant inquiries regarding program procedures, IRS compliance, and FHA, VA, and Conventional guidelines for applicable Single Family Loan programs.
  • Ensure documents are accurate and complete through the Quality Control process, and report errors.
  • Serve as a backup to staff by entering daily interest rate changes.
  • Maintain and update various software programs for reporting, tracking, and communication purposes.
  • Update Single Family information on the OHFA website.
  • Assist in the preparation, organization, and finalization of Single Family data, documentation, and reporting requirements.
  • Answer phone, send prepared emails, receive and distribute faxes, open and route incoming mail, send prepared general email correspondence, and outgoing mail.
