About The Position

We are seeking a detail-oriented and organized Home Health Intake Office Assistant to support our growing home health agency. The ideal candidate will have experience in home health or hospital intake and be responsible for processing referrals, maintaining patient records, assisting with payroll, and providing administrative support to ensure efficient daily operations.

Requirements

  • High school diploma or GED required.
  • Minimum of 1–2 years of experience in a home health agency, hospital intake department, or medical office.
  • Experience with document management, scanning, filing, and uploading records into EMR systems.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Experience using electronic medical records (EMR) systems.
  • Excellent communication and customer service skills.
  • Ability to multitask and work in a fast-paced environment.
  • Ability to work independently and as part of a team.
  • Professional, dependable, and able to maintain strict confidentiality.

Nice To Haves

  • Medical office or administrative training is preferred.
  • Experience with home health referrals and intake processes preferred.
  • Payroll or payroll support experience is preferred.
  • Knowledge of Medicare, Medicaid, and commercial insurance is a plus.

Responsibilities

  • Receive, review, and process new patient referrals.
  • Coordinate patient admissions with clinical staff and referral sources.
  • Verify patient demographics, insurance information, and required documentation.
  • Upload physician orders, medical records, insurance documents, and other patient information into the electronic medical record (EMR) system.
  • Maintain accurate and organized electronic and paper patient files.
  • Scan, file, fax, and upload documents promptly and accurately.
  • Answer incoming phone calls and provide excellent customer service to patients, families, physicians, and referral sources.
  • Track referrals and communicate admission status with the appropriate team members.
  • Assist with payroll preparation by reviewing timesheets, collecting required documentation, and submitting payroll information accurately and on time.
  • Perform general office duties including data entry, copying, emailing, scheduling, and ordering office supplies.
  • Maintain patient confidentiality and comply with HIPAA regulations.
  • Provide administrative support to the Director of Nursing, Administrator, and office staff as needed.
