About The Position

This role involves scanning paper Inpatient (IN), Observation (INO), and Same Day Care (SDC) records into the information system, accurately assigning IDs for each form, and reviewing electronic charts for quality such as legibility and completeness. The HIM Technician II also scans loose papers after initial processing, processes requests for release of information according to hospital policies, and maintains a tickler file for orders requiring signatures to ensure timely return of original medical record documents. Additionally, this position assists patients with the Health Portal via phone or in person and maintains strict confidentiality according to hospital and HIM Department policies. The role requires scanning records daily, documenting incomplete charts for signatures and dictation weekly, and performing miscellaneous duties such as answering the telephone courteously and performing duties with minimal supervision. The HIM Technician II must follow policies and procedures that contribute to the efficiency and safety of the HIM Department and maintain confidentiality.

Requirements

  • High school diploma or GED
  • Medical terminology class completion
  • Medical Records experience
  • Knowledge of office operations
  • Types approximately 30 CWPM
  • Computer experience
  • Knowledge of filing systems
  • Familiar with the use office equipment
  • Adapts to changes in procedures and/or workload

Responsibilities

  • Scans paper Inpatient (IN), Observation (INO), and Same Day Care (SDC) records into the information system and accurately assigns ID for each form according to work standards.
  • Reviews all electronic charts for quality, e.g., legibility, completeness, etc.
  • Scans all loose papers sent to the department after initial processing has been completed.
  • Processes requests for release of information according to hospital policies.
  • Maintains tickler file of orders that have been mailed for signatures to ensure safe and timely return of original medical record documents.
  • Assists patients with the Health Portal via phone or in person.
  • Maintains confidentiality according to Sullivan County Community Hospital and HIM Department policies.
  • Documents incomplete charts for signature and/or dictation so letters can be mailed weekly.
  • Answers telephone courteously and relays information promptly.
  • Performs most duties with little or no supervision.
  • Follows policies and procedures that contribute to the efficiency and safety of the HIM Department.
  • Performs other duties when requested by the HIM Director.
