About The Position

The HIM Clerk is an independent worker responsible for scanning the complete paper medical record into the computerized medical record, ensuring accuracy and timeliness. This role also involves participating in performance improvement activities, providing backup for Admissions and Dismissals, and answering the phone. This is a full-time position with benefits.

Requirements

  • High School graduate or equivalent.
  • A minimum of six months experience in clerical accounting and clerical procedures.
  • Knowledge of bookkeeping and accounting procedures.
  • A minimum of one year experience in credit and/or collections for a healthcare facility.
  • Adheres to dress code, appearance is neat and clean.
  • Completes annual education requirements, i.e. mandatory marbled packets.
  • Maintains and ensures patient confidentiality at all times.
  • Reports to work on time and as scheduled, completes work within designated time; minimal absenteeism (no more than 5 occurrences within a review year).
  • Consistently completes and maintains assigned duties.
  • Attends annual Hospital Review and Department in-services as scheduled.
  • Wears identification while on duty, uses computerized punch time system correctly.
  • Works at maintaining a good rapport and a cooperative working relationship with physicians, departments and staff.
  • Represents the organization in a positive and professional manner in the Community.
  • Communicates the mission, vision, core values, ethics and goals of the hospital, as well as the mission statement of the department.

Responsibilities

  • Scans the complete paper medical record into the computerized medical record.
  • Ensures that records are scanned in an accurate and timely manner.
  • Participates in performance improvement activities.
  • Acts as a backup to Admissions and Dismissals.
  • Answers the phone in a professional and courteous manner, takes messages, and directs calls.
  • Reviews charts thoroughly to ascertain all pages that need scanning.
  • Refers charts to the Director if there is a question regarding whether or not to scan a document.
  • Demonstrates and utilizes knowledge of computerized medical records and scanning equipment.
  • Meets quality standards of having 100% of paper medical records scanned appropriately.
  • Acts as a resource person to hospital staff for scanning issues.
  • Maintains a good working relationship within the department and with other departments.
  • Identifies and performs needed tasks to minimize nonproductive time.
  • Maintains confidential materials, ensuring availability only to authorized individuals.
  • Responds to special requests within a reasonable length of time.
  • Maintains a good working relationship with physicians.
  • Interacts professionally with all visitors and employees.
  • Demonstrates the ability to be flexible and organized during stressful situations.
  • Manages and operates equipment safely and correctly.
  • Performs other duties as assigned.
  • Forwards all martially charts to HIM Director after they are scanned.
  • Completes an incident report when information is scanned on the wrong account and forwards to the HIM Director.
  • Ensures compliance with policies and procedures regarding department operations, fires, safety, and infection control.
  • Complies with all organizational policies regarding ethical business practices.
