About The Position

The purpose of this position is to provide support to the high school main office, the principal, and the high school vice principal. The secretary provides a high level of secretarial, administrative and operational support to the main office, the principal and vice principal by coordinating, overseeing and managing an array of ongoing duties to ensure the efficient operation of the school office.

Requirements

  • High School diploma or equivalent.
  • Knowledge of word processing, database and Google applications

Nice To Haves

  • Three or more years of experience as an administrative assistant in a school setting.
  • Familiarity with PowerSchool

Responsibilities

  • Provide receptionist and secretarial support to the principals, vice principal and main office administrators, including taking and responding to messages, filing, copying, entering and managing school calendar, managing incoming mail and assisting with appointments when necessary.
  • Provide general office support, assisting staff members as necessary to ensure smooth flow of daily operations of the school to include managing student data in PowerSchool, i.e. student attendance and absence calls, and distributing and tracking Staff ID’s and FOBS and building keys.
  • Enforce/maintain security of the main office vestibule using among other tools as the Raptor System which requires screening of MA Identification.
  • Responsible for reporting the student attendance to the cafeteria manager for lunch count on a daily basis.
  • Answering phone calls, taking messages and handling correspondence.
  • Assist with coordinating and requesting maintenance of office related equipment as needed.
  • Responsible for updating the High School’s website.
  • Assist with work permits, graduation verification, building rentals, transcript requests.
  • Responsible for managing student enrollment and transfer of student information within PowerSchool.
  • Acts as the point of contact for student records requests.
  • Track and submit weekly payroll time sheets to the Payroll department.
  • Assist in the absence of the high school main secretary with time sensitive matters.
  • Assist with graduation and end of the year activities; including senior awards night, national honor society induction ceremony, etc.
  • Additional duties as assigned by the High School principal or Vice Principal.
