About The Position

The Healthcare Concierge provides administrative and front-line support to over 1000 faculty and staff across The Clubs — including The Hub AO1, The Hub AHSB, The Cloud, and The Clinical Collaborative. These are flexible, modern workspaces that support clinical and research faculty and staff without dedicated offices. This role is critical in maintaining a welcoming, high-functioning environment. The ideal candidate is a proactive problem solver with excellent interpersonal skills, technical aptitude, and a demonstrated ability to work independently.

Requirements

  • Two (2) years of administrative support experience.
  • Applicants must meet minimum qualifications at the time of hire.
  • Applicants must be legally authorized to work in the United States without requiring sponsorship.
  • Notary certification (or willingness to become certified within 14 days).
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Excellent verbal and written communication.
  • Demonstrated ability to work independently and manage multiple priorities.
  • Strong organizational skills with attention to detail.
  • Friendly, professional demeanor and ability to handle timely customer support.
  • Ability to independently research and resolve issues prior to escalating.
  • Effective problem-solving and time management.
  • Comfort working independently with minimal supervision.
  • Ability to learn and support new systems and technologies quickly.

Nice To Haves

  • Experience in a healthcare, academic medical, or higher education setting.
  • Bachelor’s degree from an accredited college or university.
  • Previous experience as a concierge or in customer-facing service roles.
  • Basic IT troubleshooting experience (printers, A/V, Wi-Fi, etc.).

Responsibilities

  • Lead virtual and in-person onboarding orientations for new Hub faculty, including technology setup and space logistics.
  • Offer basic IT support (e.g., printer setup, video conferencing tools, conference room A/V troubleshooting) and escalate issues when necessary.
  • Perform front desk duties, including greeting faculty and answering inquiries by phone, email, and in person.
  • Manage day-to-day supply restock and space upkeep of multiple locations in proximity.
  • Maintain and update faculty directories, phone lists, and scheduling systems.
  • Coordinate workspace reservations and conference room bookings.
  • Manage mail, packages, dry cleaning, and vendor deliveries.
  • Track inventory and restock office and kitchen supplies regularly.
  • Maintain food and beverage services at the food bar.
  • Process accounts payable for The Clubs’ vendors and liaise with procurement.
  • Work with Facilities to ensure daily upkeep of shared areas.
  • Organize community-building events and social gatherings.
  • Provide notary services (training and certification available if needed).
