About The Position

EPIARX Diagnostics is a growing private pathology practice specializing in independent autopsy and pathology services. They help families, attorneys, healthcare professionals, and communities obtain answers during difficult moments by providing clarity, truth, documentation, and peace of mind. The company is seeking a highly organized Healthcare Case Operations Coordinator to ensure every case moves smoothly from consultation through completion. This is a mission-critical operations role responsible for coordinating people, documentation, logistics, and workflows. The role ensures that cases progress efficiently and professionally, providing operational backbone for the practice. The coordinator will take ownership of the administrative and operational execution of cases, managing logistics, maintaining records, supporting communication, and identifying potential issues.

Requirements

  • Bachelor's degree or equivalent professional experience preferred
  • Experience in administrative coordination, office operations, healthcare administration, scheduling, intake, or workflow management
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Experience working with CRM systems, scheduling tools, and digital documentation platforms
  • Ability to manage multiple priorities simultaneously while maintaining attention to detail
  • Demonstrated ability to follow through on tasks and responsibilities independently

Nice To Haves

  • Healthcare, pathology, medical practice, or laboratory experience
  • Experience working in HIPAA-compliant environments
  • Experience coordinating across multiple stakeholders
  • Experience supporting professional services organizations
  • Direct pathology experience is not required. Training will be provided.

Responsibilities

  • Coordinating case logistics, including scheduling with physicians, funeral homes, drivers, and other partners
  • Managing and maintaining CRM data and case tracking systems
  • Ensuring all documentation is complete, accurate, and timely
  • Following up on outstanding tasks, records, and deliverables
  • Supporting communication between clients, physicians, vendors, and internal team members
  • Identifying potential delays or issues before they impact case progress
  • Supporting broader operational and administrative initiatives as the practice grows
  • Assisting with operational process improvements and workflow optimization
