About The Position

This is a part-time, freelance position for a Bilingual Healthcare Administrative Assistant. The role serves as a primary communication point for Spanish-speaking caregivers and staff, conducting follow-ups on training, licenses, certifications, missing documents, and timesheet discrepancies. The assistant will also answer inbound calls, assist with general questions and scheduling, monitor caregiver compliance, support shift coverage, maintain accurate records in the CRM/system, and coordinate with office staff to ensure smooth operations. The position requires providing professional and compassionate customer service to caregivers and clients.

Requirements

  • Fluent in both English and Spanish (spoken and written)
  • Minimum 2–3 years of experience in healthcare administration, home care support, customer service, or virtual assistance
  • Experience handling high-volume phone calls and caregiver/client communication
  • Strong understanding of compliance follow-ups, scheduling, and documentation management
  • Experience working with healthcare or home care systems
  • Strong organizational and multitasking abilities in a fast-paced environment
  • Excellent written and verbal communication skills
  • High attention to detail and ability to maintain accurate records
  • Comfortable working independently while managing multiple priorities

Nice To Haves

  • Experience with HHA Exchange is highly preferred

Responsibilities

  • Serve as a primary communication point for Spanish-speaking caregivers and staff
  • Conduct outbound follow-ups regarding annual training requirements, license and certification renewals, missing documents and compliance items, and timesheet and clock-in/clock-out discrepancies
  • Answer inbound calls and assist caregivers with general questions and scheduling concerns
  • Monitor caregiver compliance and provide timely updates to management
  • Assist with shift coverage coordination and scheduling support as needed
  • Maintain accurate records and update caregiver information in the CRM/system
  • Support administrative operations related to healthcare staffing and caregiver management
  • Coordinate with office staff to ensure smooth communication and workflow
  • Provide professional and compassionate customer service to caregivers and clients
