About The Position

Support the nursing team at Thorne Crest by coordinating schedules, maintaining accurate resident records, and providing essential administrative support to the nursing department. This full-time role offers a Monday–Friday schedule and the opportunity to make a direct impact on the daily operations of a skilled nursing community.

Requirements

  • High school diploma or equivalent required
  • Ability to read, write, speak, and understand English to effectively communicate with residents, families, staff, and other customers
  • Strong organizational and communication skills
  • Ability to work effectively in a fast-paced environment with frequent interruptions
  • Ability to handle confidential resident and employee information appropriately
  • Basic computer skills and familiarity with Microsoft Office
  • Strong customer service skills and the ability to work collaboratively with staff across departments
  • Ability to interact respectfully and professionally with residents, families, employees, healthcare professionals, and visitors
  • No prior experience required

Nice To Haves

  • Prior scheduling experience strongly preferred
  • Previous clerical experience in a healthcare setting preferred
  • Active CNA certification preferred
  • Experience with PointClickCare or other electronic medical record systems is a plus

Responsibilities

  • Coordinate and maintain the nursing department's master schedule, including filling open shifts and adjusting staffing needs
  • Communicate with nursing staff by phone, email, and text to proactively coordinate coverage for open shifts
  • Work with nursing agency partners to communicate staffing needs and verify coverage
  • Maintain accurate resident medical records, census reports, unit records, and required documentation
  • Enter physician orders into PointClickCare (PCC) accurately and submit appropriate orders to the pharmacy as directed
  • Schedule resident appointments within and outside the facility
  • Prepare transfer, discharge, admission, and other required resident documentation
  • Maintain and update CNA assignment sheets and nursing department schedules
  • Review employee requests for PTO, vacation, leave of absence, and schedule changes
  • Verify employee time worked and assist with time change requests
  • Assist with onboarding new nursing staff and agency employees, including training materials and system access
  • Assist with agency invoice processing by verifying shift dates, times, and signatures
  • Monitor staffing coverage and help limit unnecessary overtime while ensuring resident care needs are met
  • Maintain nursing department supplies and complete weekly supply ordering
  • Provide clerical and administrative support to the Director of Nursing and nursing team
  • Interact professionally with residents, families, physicians, staff, visitors, and other healthcare professionals
  • Assist the nursing department with preparation for state and federal surveys
  • Maintain confidentiality and security of resident and employee information, including protected health information
  • Participate in emergency drills, in-service training, and other educational programs
  • Perform additional administrative duties as assigned
