About The Position

The Guelph CHC is located in the vibrant city of Guelph, Ontario, and provides primary care services and community health programs using an interdisciplinary, team-based approach. We have innovative client-centered services delivered through the use of interdisciplinary teams. Our clinical team consists of family physicians, nurse practitioners, and registered practical nurses, who work collaboratively with Guelph CHC community health workers, including social workers, dietitians, outreach workers, and cultural interpreters. Reports to Clinic Supervisor, the Health Services Receptionist acts as the primary contact between Guelph CHC clients and Health Care Practitioners. In all of the following, the Health Services Receptionist demonstrates a courteous, professional manner with sensitivity to our diverse client needs, including but not limited to language and literacy.

Requirements

  • Grade 12 diploma, college diploma or certificate in office, medical, or business administration preferred
  • High proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • At least 1 year experience working with customers and handling a fast-paced office environment, preferably in a health care setting
  • Experience with Electronic Health Records is an asset
  • Strong customer service skills especially as they related to our priority populations
  • Ability to multitask and work independently
  • Effective written and oral communication skills
  • Effective time management, decision making and organizational skills
  • A good team member and supportive of interdisciplinary practice.

  • Work with other staff to implement improvements and efficiency

Responsibilities

  • Schedule client appointments including arranging interpretation services as required.
  • Receive/greet visitors and clients
  • Answer incoming calls, direct clients, and process messages.
  • Make outgoing calls to arrange follow-up appointments; notify clients of upcoming appointments with the Guelph CHC, contact specialists, provide instructions for tests when required; reschedule appointments; obtain records/reports, etc.
  • Complete referrals and send relevant information to specialists for diagnostic tests; receive incoming information regarding appointments with specialists via fax/phone and notify clients.
  • Maintain electronic medical records
  • Manage and check clinical inbox for directions and tasks from practitioners and complete appropriate follow-up.
  • Provide clerical services, including inputting current client registration, enrollment status for new clients, and updating client demographics.
  • Open and close the clinic and ensure the clinic is well maintained in an orderly fashion and all pertinent client information is securely locked up at the end of the workday.
