About The Position

Requirements

  • Bachelor’s degree or High School diploma or GED with three (3) years of medical supervisory experience.
  • Medical terminology
  • Excellent communication skills
  • Communicate well verbally, using appropriate grammar and professional conversation skills required.
  • Participate in educational activities and attend monthly staff meetings.
  • Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.

Nice To Haves

  • Master’s degree in healthcare related field.
  • Registered Health Information Technician or Registered Health Information Administrator.
  • Bilingual (English/Spanish) preferred, but not required.

Responsibilities

  • Directs clinical support activities to ensure efficiency and monitors effectiveness for new patient coordinators and the medical records teams.
  • Ensures accurate collection of patient data and correct filing and organization of medical records.
  • Ensures connections with new patients referred to the practice are promptly made, and all patient intake forms are being sent out and completed timely.
  • Identifies and implements opportunities and efficiencies related to team processes and duties, including new software selection and implementation.
  • Serves as a go-to resource for the supervised teams regarding clinical practice policies and procedures, including recognizing, addressing, and resolving issues identified.
  • Creates and maintains documented policies, procedures and competencies for managed teams and ensures adherence.
  • Provides training and support to new team members.
  • Creates, oversees, and reports on performance metrics of the teams.
  • Provides backup to team members during absences or to ensure completion of duties in a timely manner.
  • Attends monthly manager’s meetings and participates in leadership development opportunities.
  • Directly supervises all employees within the medical records and new patient coordination departments.
  • Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
