About The Position

The Health Information Specialist supports the efficient management of medical records, adherence to health information standards, and the delivery of high-quality health care support services. This role requires advanced knowledge of health information systems, strong attention to detail, and the ability to resolve complex issues while contributing to continuous improvement in processes and workflows. The Health Information Specialist is responsible for performing day-to-day operations in accordance with industry best practices while contributing to an inclusive and collaborative team environment. This role includes hands-on management of medical records processes, mailbox and file management, and quality assurance activities, while communicating effectively with stakeholders, team members, and organizational leadership.

Requirements

  • Experience in a health information or medical records environment.
  • Strong knowledge of health information systems, EHR software, and document management best practices.
  • Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent communication and problem-solving skills.
  • Proficiency in Microsoft Office Suite and familiarity with database systems.
  • Ability to work collaboratively with diverse teams and demonstrate cultural competence.
  • Positive and friendly phone manner.
  • Ability to work/perform on heavy deadline-driven tasks daily.
  • Grit/perseverance and commitment.
  • Knowledge of healthcare in areas such as the treatment or prevention of illness, disease, or injury.
  • Knowledge/exposure to preventative health care measures and immunization schedules.
  • Direct patient care within the clinical setting, preferably in occupational medicine and/or family practice.
  • Ability to work independently while actively participating as a team player and supporting team members in a fast-paced environment.

Nice To Haves

  • Customer service experience and previous occupational health clinical experience a plus.

Responsibilities

  • Accurately store, retrieve, and clear medical records in compliance with NMS Health's standards and industry best practices.
  • Organize and maintain the distribution of files from inboxes, including proper labeling and timely action on records received via Box and [email protected].
  • Collaborate with stakeholders to optimize the electronic health record (EHR) system and document management workflows.
  • Stay informed of EHR system upgrades and adopt process improvements to maximize efficiency and accuracy.
  • Create and distribute exam letters promptly to meet scheduling requirements.
  • Uphold strict confidentiality and data security measures for all health information systems and records.
  • Maintain compliance with all relevant regulations, including HIPAA, and organizational policies.
  • Act as an internal resource for medical data and records, supporting cross-functional teams with health information needs.
  • Contribute to a team culture of self-awareness, cultural competency, and inclusivity, collaborating effectively with colleagues from diverse backgrounds.
